Job description

Job Title: Project Coordinator

Location: Western Cape, Cape Town

Deadline: August 08, 2025

KEY RESPONSIBILITIES

  1. Compile documentation for all projects by managing processes through the ILO and PM.
  2. Match Customer Purchase Orders with the Bill of Services, ensuring accuracy in total values, unique numbers, and project descriptions.
  3. Create new Executable Files and add documentation according to the latest OTS Form revision.
  4. Obtain confirmation from PM regarding the appointed Contractor and request the Contractor Purchase Order.
  5. Secure sign-off on Appointment Letters from RM.
  6. Add Contractor Purchase Orders to Executable Files and submit to ILO.
  7. Receive Contractor Completion files, collate missing documentation as per the latest OTS Form revision.
  8. Follow the Variance Order procedure when applicable.
  9. Begin compiling the Site File for customer submission as per OTS Form.
  10. Create digital copies of the Site File on a CD in the prescribed format.
  11. Maintain an organized filing system.
  12. Assist the PM in tracking the project from inception to invoicing.
  13. Analyze and identify potential issues for the PM.
  14. Participate in forecasting meetings with Finance and monitor progress versus actual invoicing.
  15. Identify process delays and escalate operational concerns to ensure timely project delivery.
  16. Coordinate and communicate link build progress among stakeholders.
  17. Schedule daily feedback sessions with project managers and weekly meetings with contractors and stakeholders.
  18. Update project management systems (CRM, Quickbase, etc.) with accurate progress data.
  19. Use verification reports to monitor LB Progress, ensuring timely processing and escalating risks or delays.
  20. Assist in compiling project documentation.
  21. Coordinate with stakeholders to ensure projects proceed according to schedule, including SI drawings and DPC.
  22. Verify scheduled versus actual work for project packs.
  23. Track LB status reports, manage schedules, and provide feedback to project managers.
  24. Attend weekly invoicing feedback sessions.
  25. Attend and record minutes for meetings with LMs/contractors and document site activities.
  26. Follow up on Progress Reports and Non-conformance issues.
  27. Perform additional duties as assigned by the Line Manager.
  28. Manage ATP/ATC processes, follow up on documentation, and ensure timely reporting.
  29. Complete and upload ATP Reports within 48 hours of receiving raw data, ensuring accuracy and compliance.
  30. Ensure all documentation includes client info, fiber testing details, site location, testing dates, and connection types.
  31. Maintain calibration schedules for test equipment.

QUALIFICATIONS & EXPERIENCE

  • Grade 12
