Job Title: Project Coordinator

KEY RESPONSIBILITIES
- Compile documentation for all projects by managing processes through the ILO and PM.
- Match Customer Purchase Orders with the Bill of Services, ensuring accuracy in total values, unique numbers, and project descriptions.
- Create new Executable Files and add documentation according to the latest OTS Form revision.
- Obtain confirmation from PM regarding the appointed Contractor and request the Contractor Purchase Order.
- Secure sign-off on Appointment Letters from RM.
- Add Contractor Purchase Orders to Executable Files and submit to ILO.
- Receive Contractor Completion files, collate missing documentation as per the latest OTS Form revision.
- Follow the Variance Order procedure when applicable.
- Begin compiling the Site File for customer submission as per OTS Form.
- Create digital copies of the Site File on a CD in the prescribed format.
- Maintain an organized filing system.
- Assist the PM in tracking the project from inception to invoicing.
- Analyze and identify potential issues for the PM.
- Participate in forecasting meetings with Finance and monitor progress versus actual invoicing.
- Identify process delays and escalate operational concerns to ensure timely project delivery.
- Coordinate and communicate link build progress among stakeholders.
- Schedule daily feedback sessions with project managers and weekly meetings with contractors and stakeholders.
- Update project management systems (CRM, Quickbase, etc.) with accurate progress data.
- Use verification reports to monitor LB Progress, ensuring timely processing and escalating risks or delays.
- Assist in compiling project documentation.
- Coordinate with stakeholders to ensure projects proceed according to schedule, including SI drawings and DPC.
- Verify scheduled versus actual work for project packs.
- Track LB status reports, manage schedules, and provide feedback to project managers.
- Attend weekly invoicing feedback sessions.
- Attend and record minutes for meetings with LMs/contractors and document site activities.
- Follow up on Progress Reports and Non-conformance issues.
- Perform additional duties as assigned by the Line Manager.
- Manage ATP/ATC processes, follow up on documentation, and ensure timely reporting.
- Complete and upload ATP Reports within 48 hours of receiving raw data, ensuring accuracy and compliance.
- Ensure all documentation includes client info, fiber testing details, site location, testing dates, and connection types.
- Maintain calibration schedules for test equipment.
QUALIFICATIONS & EXPERIENCE
- Grade 12
- Project administration/management qualification is an advantage
- Relevant technical qualifications
- Minimum 2 years’ strong project administration experience
- Experience in the telecommunications industry is advantageous
- Background in administrative or management roles
