About the Organization

The team works closely with hospitals, public health programs, and global partners to deploy innovative screening and triage tools at scale.

Role Overview

The Program Coordinator will support the implementation of an AI-enabled respiratory screening program across clinical sites. This role involves managing daily operational workflows, ensuring data quality, coordinating with hospital teams, and driving smooth execution of service delivery activities.

Key Responsibilities

Service Delivery & Patient Flow

  • Manage the complete POCUS screening workflow including patient identification, referrals, scheduling, scan support, and results capture.
  • Coordinate closely with clinical teams to ensure adherence to SOPs, infection control standards, and patient safety requirements.
  • Guide patients through follow-up actions such as confirmatory tests, referrals, and continuity of care, reducing loss-to-follow-up.

Site Operations & Readiness

  • Ensure ultrasound device readiness through basic checks, uptime monitoring, and accessory/consumables management.
  • Log and escalate technical issues to vendors or biomedical teams with clear SLAs.
  • Plan and track training sessions, onboarding, refreshers, and competency assessments for clinical users.
  • Maintain updated SOPs, job aids, escalation matrices, and key contact information at point-of-use.

Data, Reporting & Quality

  • Capture patient and screening data accurately in digital tools (e.g., qTrack, hospital systems); ensure completeness, de-duplication, and timely updates.
  • Generate and review daily/weekly dashboards on volumes, adoption, turnaround times, and follow-up status.
  • Support compliance with consent, ethics, IRB guidelines, and privacy policies; immediately escalate deviations.

Stakeholder Coordination & Issue Resolution

  • Lead daily huddles and maintain an Issue & Action Tracker with clear owners and timelines.
  • Coordinate across radiology, emergency/OPD, IT, biomedical, and administrative teams to resolve workflow challenges.
  • Submit concise weekly reports highlighting progress, risks, mitigation steps, inventory status, training updates, and site success stories.
  • Exposure to medical devices, radiology/POCUS, screening programs, or EMR/PACS/DICOM systems is an added advantage.
