Job Title: Product Content & Communications Coordinator
Department: Product
Reports to: Head of Product

Job Purpose

Responsible for managing and maintaining product content across company systems, digital platforms and marketing channels. The role supports Product, Sales and Management by transforming supplier, product, operational and responsible tourism information into clear, accurate content for internal teams, agents and customers. The role also coordinates and supports Travelife sustainability initiatives, ensuring responsible tourism practices and requirements are effectively communicated across the business and to external stakeholders

Key Responsibilities
Product and Operational Content Development
  • Develop, write, edit and maintain product specifications, supplier information and operational content requirements into clear, engaging and customer-friendly content.
  • Source, organise and maintain supplier images, product assets and content libraries, ensuring imagery is current, correctly labelled and approved for use.
  • Proactively follow up with suppliers for refreshed descriptions, inclusions, images, refurbishment updates and operational changes.
  • Capture content, key selling points and image requirements into Tourplan and other business systems for itinerary and other agent documentation and Agent Portal.
  • Create and maintain product user guides, FAQs, training material, knowledge-based content and process documentation.
  • Maintain content accuracy, consistency and version control across company systems, ensuring product updates are captured in a structured, searchable and approved format.
Marketing and Digital Copywriting
  • Write social media copy, newsletters, PS Recommends briefs, product updates and announcements.
  • Produce launch and campaign content for new products, promotions and key business messages.
  • Plan, maintain and execute a social media and newsletter calendar in coordination with Product, Sales and Marketing.
  • Ensure all marketing and digital copy reflects the Private Safaris brand tone, writing style and agreed communication standards.
  • Apply basic SEO best practice when writing and updating website, social media and product content.
  • Use agreed keywords, phrases, product names, headings and short descriptions naturally within content.
  • Engage with social media comments, messages and interactions in line with brand tone and agreed response guidelines.
  • Monitor basic content and social media performance indicators and provide feedback on what content is working well or needs improvement.
Sustainability and Travel Life Initiatives and Requirements
  • Support the development and communication of sustainability and responsible tourism initiatives across product, supplier and marketing content.
  • Ensure sustainability content and marketing claims are factual (supported by supplier or internal sources), honest, current and aligned with responsible tourism principles. Avoiding vague or unsupported claims.
  • Maintain a record of key suppliers and partners, gathering sustainability information, including responsible tourism practices, certifications, community initiatives and conservation efforts.
  • Create and file sustainability knowledge-sharing material, training records, best-practice documents, supplier updates and internal awareness communications for staff and relevant partners.
  • Create and maintain an up-to‑date stakeholder contact list, including tourism forums, conservation organisations, community groups, NGOs, government contacts and sustainability working groups, and assist with meeting coordination and follow‑up actions.
  • Assist with collecting, capturing and checking baseline sustainability data and progress updates
  • Maintain an improvement action log for sustainability‑related tasks, deadlines, responsible persons and follow‑up actions across procurement and supplier engagement
Communication and Collaboration
  • Gather product and operational information from subject matter experts and translate it into clear, customer‑focused messaging.
  • Liaise with CEO and Product Team for creation of product briefs, newsletter topics and social media posts
  • Liaise with suppliers and internal teams and facilitate the exchange of sustainability knowledge, training materials, and best practices with employees, suppliers, industry partners, communities, and other relevant stakeholders.
  • Provide regular reporting on work in progress, ensuring transparency, effective workload management and informed decision‑making.
  • Manage input, review and sign‑off processes with Product, Sales, Marketing and Management before key external content is published.
  • Attend weekly team meetings and biweekly meetings with Line Manager
  • Contribute to the successful delivery of strategic roadmap initiatives by supporting projects to meet agreed timelines, objectives and business outcome.
  • Embrace the PS principles – collaborate and focus on effective communication and teamwork
Key Skills Required
  • Strong writing, editing, proofreading and content creation skills for internal, trade and customer‑facing audiences.
  • Ability to translate product, supplier, destination and operational information into clear sales and marketing content.
  • Marketing and digital content skills, including newsletters, product briefs, social media, basic SEO and website updates.
  • Excellent attention to detail when working with product facts, inclusions, rates, supplier information and brand guidelines.
  • Strong communication, coordination and research skills, with the ability to gather information and manage approvals.
  • Good organisation and time management, with the ability to manage briefs, deadlines, content calendars and priorities.
  • Sound tourism product knowledge, with an understanding of responsible tourism principles.
  • Comfortable working with Microsoft 365, SharePoint, content management systems, social media platforms and basic design tools.
Experience Required
  • 2–3 years’ experience in content writing, copywriting, content marketing or digital content creation, within travel and tourism.
  • Experience turning product, supplier or operational information into customer‑friendly communication.
  • Experience in digital marketing, SEO‑focused content or customer‑facing documentation would be advantageous.
  • First‑hand travel experience within Africa, including game lodges and city stays, would be advantageous.
  • Strong sustainability and conservation awareness.
  • Tourplan experience would be highly advantageous.
Qualifications
