Job Title : Procurement Manager and Inventory Manager

Location : Johannesburg

Salary : R 57,700.00 per month

Cell Allowance : R 1,000

Travel Allowance : R 5,350

Benefits : Medical Aid and Provident Fund (after 6 months)

Job Overview :

The Procurement Manager is responsible for overseeing the procurement processes within the company, with a particular focus on parts management, stock control, and communication with both local and international suppliers. The role ensures that the company maintains appropriate inventory levels, fulfills parts requests efficiently, and supports various branches with necessary stock and parts. This position does not involve direct sales, but rather focuses on the management of the procurement and stock functions to support operations in the material handling industry.

Key Responsibilities :

  • Supplier Communication & Coordination :

Maintain daily communication with Hong Kong and China to monitor and update the status of parts quotes and queries.

  • Receive parts / quote requests from Company product support and parts sales staff across all branches, initiate communication with Hong Kong to request parts quotes as necessary.
  • Issue request reference numbers to the requester in line with the parts request register and ensure proper tracking of each request.
  • Send received quotations from Hong Kong to the respective requester, including the estimated rate of exchange for Dollar to Rand conversion for final user quotations.
  • Request the Pro-Forma Invoice (P / I) from Hong Kong once the quotation is approved by the customer or rental manager and payments (e.g., air freight costs) are made.
  • Upon receiving the P / I, sign the document and forward it to Jannene (Supply Chain Manager) for co-signing, before sending it to Hong Kong for processing.
  • Regularly request updates on parts ETA and keep relevant parties informed of any changes or delays.
  • Stock Management & Ordering :
  • Regularly place stock orders from both local and international suppliers based on stock reviews and scaling exercises.

  • Prepare parts requisitions on Nucleus and create part numbers on Nucleus as required.
  • GRV (Goods Receipt Voucher) parts into stock upon arrival.
  • Transfer parts on Nucleus to other branches as needed and create bin locations on Nucleus for proper inventory management.
  • Conduct stock takes at the Johannesburg branch and ensure accuracy of inventory levels.
  • Coordinate spare parts coverage for new models and order as needed by performing parts requirement exercises.
  • Warehouse & Staff Management :
  • Manage and oversee the daily operations of the Central Parts Warehouse located in Johannesburg, including stock counts and maintaining organization of inventory.

  • Supervise warehouse department staff, ensuring they meet company standards for efficiency, accuracy, and safety.
  • Procurement & Sourcing :
  • Identify new parts suppliers and establish accounts with them, expanding the company's procurement options.

  • Authorize supplier quotes for items required by product support for quoted repairs, as well as consumables for various operations.
  • Assist in sourcing parts for quoted repairs when required to ensure customer needs are met.
  • Collaboration & Liaison :
  • Liaise with all branches to ensure appropriate stock levels are maintained at the local level, including overseeing the supply of parts to the Johannesburg branch.

  • Collaborate with product support teams to ensure timely parts availability and delivery for repairs and maintenance activities.
  • Qualifications & Experience :

  • Proven experience in procurement, particularly in a material handling or related industry.
  • Strong knowledge of stock management, warehouse operations, and supplier coordination.
  • Previous experience in using Nucleus or similar inventory management systems is an advantage.
  • Excellent organizational skills and attention to detail.
  • Leadership experience, with the ability to manage and motivate a team effectively.
  • Proficiency in Microsoft Office and spreadsheet management.
