A procurement and production company in Pietermaritzburg is seeking a detail-oriented Procurement Admin Clerk. This role involves data capturing, stock management, and supporting procurement tasks. The Procurement Admin Clerk plays a key administrative and operational role within the Procurement Department.
This position is responsible for ensuring accurate data capturing, maintaining reliable stock and delivery documentation, and supporting the procurement team with day-to-day coordination.
The ideal candidate is detail-oriented, organised, and able to work efficiently in a fast-paced environment.
This role directly contributes to the smooth functioning of stock control processes and the timely flow of materials required for production and operations.
Stock & Data Capture: Capture daily stock counts into the system with a high degree of accuracy. Review, validate, and reconcile stock count data to ensure completeness and correctness.
Documentation & Processing: Process PODs (Proof of Delivery) and maintain organized, up-to-date documentation. Capture and process purchase orders within the procurement or stock management system. Update and maintain the daily receiving schedule to reflect all expected inbound deliveries.
Consumables Management: Manage and control the consumables storeroom, including issuing, usage tracking, and maintaining adequate stock levels. Conduct periodic checks to ensure consumables are stored, used, and recorded correctly.
Procurement Support: Assist with ad-hoc procurement tasks, including generating quotes, placing orders, and following up with suppliers when required. Support internal departments by providing timely updates regarding stock or order statuses.
Strong computer literacy across multiple applications.
Fast, accurate typing skills with a focus on data accuracy.
Basic Excel proficiency, including data entry, simple formulas, spreadsheets, and reporting.
Basic working knowledge of Pastel or similar procurement / accounting systems.
Excellent attention to detail and strong organisational skills.
Ability to work under pressure, multitask, and meet tight deadlines.
Strong communication skills and the ability to collaborate with various internal departments.
Minimum of 1 year of experience in an administrative, procurement, stock control, or related role.
Experience working with stock management or procurement systems.
Matric / Grade 12 or equivalent qualification.
Reliable, punctual, and able to work independently with minimal supervision.
