PRACTICE MANAGER – Ophthalmology Practice - Nelspruit, MP MpumalangaLocation : NELSPRUIT, Mpumalanga POSITION OVERVIEW : The Practice Manager is responsible for the efficient day-to-day management of the ophthalmology practice, ensuring smooth clinical operations, excellent patient care, accurate billing processes and effective staff coordination.

The role requires strong leadership, communication, and organizational skills, with the ability to manage both administrative, financial and operational functions within a medical practice environment.

Job Specification

Key ResponsibilitiesPractice Operations & AdministrationOversee daily practice operations to ensure an efficient and patient-focused environment.Manage the appointment diary, surgical / theatre lists, staff rosters, and annual leave planning.Coordinate staff meetings, representative visits, internal planning sessions, and external engagements.Liaise with hospital management, suppliers, service providers, and business partners.Maintain practice compliance : CIPC, HPCSA, medical malpractice, licensing, and statutory registrations.Manage contracts, service agreements, and warranties with equipment suppliers.Coordinate building and facility maintenance, including electrical, plumbing, and security systems.Oversee IT and system functionality, ensuring minimal downtime and prompt troubleshooting.Billing, Finance & Medical Aid ComplianceOversee billing accuracy and ensure correct application of ICD-10 and ophthalmology-specific tariff codes.Ensure compliance with Medical Aid rules, PMB requirements, and reimbursement structures.Liaise with billing bureaus, accountants, and financial stakeholders to ensure accurate accounting and reconciliation.Manage payment of monthly expenses, invoicing, business accounts, and cash flow oversight.Submit and follow up on Injury on Duty (IOD) claims and authorization requirements.Staff Leadership & HR ManagementLead, support, and mentor staff to maintain high performance and professional standards.Assist with employment contracts, job descriptions, onboarding, and role clarity.Handle HR inquiries, staff scheduling, conflict resolution, and performance discussions.Delegate tasks effectively and ensure workload is balanced across the team.Step in to assist office operations when staff are absent or support is required.Systems & Technology ManagementManage and maintain workflows within GoodX or equivalent practice management system.Oversee integration and use of diagnostic equipment and software.Ensure DICOM and imaging systems interface correctly with EMR / Harmony platforms.Liaise with IT providers for network and system support and security monitoring.Patient Experience & CommunicationManage difficult, sensitive, or escalated patient interactions professionally.Ensure a patient-centered service environment with high ethical and care standards.Oversee practice communication channels, including internal notices and social media presence.Support execution of community programs or outreach initiatives where applicable.Key Skills & AttributesStrong leadership and team coordination skillsExcellent verbal and written communication abilitiesHigh level of attention to detail and accuracyAbility to manage conflict and navigate sensitive situationsProfessional, empathetic, and patient-centered approachStrong organizational and multi-tasking abilitiesUnderstanding of medical billing, coding, and medical aid processesComfortable working in a fast-paced clinical environment
