Job description

To provides high-level administrative, strategic, and organisational support to ensure the CEO's time, priorities, and workflow are effectively managed.

The role acts as a key enabler to the CEO by coordinating communications, preparing critical documents, managing schedules, and facilitating smooth execution of executive initiatives.

This position serves as a trusted liaison between the CEO, internal teams, and external stakeholders, ensuring confidentiality, professionalism, and efficiency in all interactions.

The PA helps enhance the CEO's productivity and supports the overall performance of the executive office.

Key Performance Areas
  • Providing administrative support to the Chief Executive Officer, including managing calendars, scheduling meetings, and handling correspondence.
  • Prepare and organize materials for meetings, presentations, board meetings and other ad hoc events.
  • Coordinate traveling arrangement, including bookings, flights, hotels, transportation.
  • Conduct research and compile data for report, presentation, and projects.
  • Assist in tracking and managing budget, expense, and invoice.
  • Manage fleet usage and petrol cards.
  • Manage update contact list, database, and files.
  • Coordinate and oversee special projects and events as assigned by the Chief Executive Officer.
  • Liaise with internal and external shareholders, including senior management, client, clients, and service providers.
  • Handle confidential and sensitive information, discretion, and professionalism.
  • Company cell phones administration.
  • Maintaining day-to-day activities of office team (drivers, storeman, and general worker), leave management, discipline etc.
  • Managing the maintenance of office building and garden.
  • Perform other duties as assigned by Chief Executive Officer on adhoc basis.
  • Advanced proficiency with remote work tools, digital calendars, communication platforms and project management software.
  • Excellent written and verbal communication platforms, and project ability to develop and implement robust operational system that drive efficiency and accountability.
Qualifications and Experience Indicator
Education

Bachelor's degree in business studies or equivalent qualification

Experience

A minimum of five years of experience in executive support, operations management, or a similar role with a fast-growing, high-performance environment.

Demonstrated success working directly with C-suite executives (senior leadership team / s, responsible for overall strategy, vision, and company direction).

Must have demonstrable experience to respond and participate in settings demanding objectives, rapid decision-making and working in an agile work environment.
