Job description

Grade (Senior Certificate or equivalent qualification) plus an accredited secretarial diploma and/or administrative qualification at NQF level 5 or higher tertiary qualification; a minimum of 3 years' experience in providing support to management or senior management.

Recommendation

A proactive, detail-oriented individual with experience in executive support and a solid understanding of public service protocols.

Key Performance Areas

  1. Provide comprehensive secretarial and receptionist support to the Director, including managing correspondence, scheduling appointments, and handling incoming communications.
  2. Render efficient administrative support services, such as document preparation, filing, and office coordination.
  3. Coordinate and support meetings for the Director by preparing agendas, taking minutes, and ensuring follow-up on action items.
  4. Assist with budget administration, including tracking expenditure, processing financial documentation, and supporting financial planning activities.
  5. Study and apply relevant Public Service and departmental prescripts, policies, and procedures, ensuring accurate interpretation and implementation in all administrative functions.

Knowledge required includes: Basic financial administration; procurement of goods and services; document and situation analysis.

Skills required include: Computer literacy in MS Office (Word, Excel, PowerPoint); written and verbal communication; planning and organizing; time management (for workshops, conferences); ability to work under pressure; ability to work independently and in a team.

Remuneration

R – R per annum (Salary level 7)

Note: In addition, service benefits or obligations for qualifying employees (medical assistance, housing assistance, pension contributions, etc.) are funded or co-funded according to applicable prescripts or collective agreements.

Notes

Shortlisted candidates will need to submit documentation for verification and criminal record checks. They will also be required to complete a practical assessment, attend interviews, and may undergo competency and proficiency tests.
