People & Operations Coordinator

Location: South Africa (Remote), preferably Cape Town or Johannesburg

About the Role

Caribou is a global consultancy working at the intersection of technology, inclusion, and impact.
With a team of 50+ people across 20+ countries, we help our partners design strategies, manage funds, uncover insights, and measure impact in a digital age.
We are seeking a People & Operations Coordinator to take day‑to‑day ownership of Caribou's people and operational systems.

This role ensures the smooth running of HR processes, internal communications, supplier management, and team logistics — all the things that keep a globally distributed organisation connected and performing at its best. You'll work closely with the Head of People & Operations, the CEO, and the Executive Leadership Team (ELT), ensuring our systems are well maintained, our people processes are efficient, and our culture continues to feel personal, organised, and values‑driven as we grow. This is an ideal role for someone with solid experience in people operations or business coordination who enjoys combining structure, systems, and human connection.

Key Responsibilities
  1. HR Management
    • Manage all aspects of HR administration, including drafting and processing contracts, onboarding, offboarding, and maintaining BambooHR data integrity.
    • Keep personnel files, policies, and records accurate and up to date.
    • Support recruitment coordination (posting roles, scheduling interviews, collating documentation).
    • Provide guidance to hiring managers on how to craft good job descriptions and SOWs, and the correct contracting mechanisms for different consulting arrangements (day rate, deliverable‑based, etc), ensuring consistency across the company.
    • Coordinate cross‑company internal communications via email or Slack announcements.
    • Support leave management, timesheet tracking, and performance review cycles.
  2. Operations Coordination
    • Support the Head of Operations with supplier and vendor administration, including contracting, invoicing, and payments in coordination with Finance.
    • Provide operational and logistical support to programs as needed (e.g. event logistics and coordination, and participant communications).
    • Help maintain Caribou's digital infrastructure — supporting program leads on an ad‑hoc basis to organise shared Google Drives and ensuring folders are structured and accessible.
    • Track and support implementation of organisational policies and compliance documentation (e.g. vendor Code of Conduct acknowledgements).
    • Maintain internal databases in Notion, including policy libraries, templates, and program trackers.
    • Coordinate the internal communications cadence — scheduling all‑staff calls, Brown Bags, and other company‑wide sessions.
    • Ensure meeting logistics for these run smoothly: set up virtual meeting rooms, assign breakout rooms, ensure recordings are captured, and upload recordings and materials to Notion (our intranet).
    • Coordinate logistics for the annual All‑Cariboux Retreat and other in‑person gatherings (e.g. venue sourcing, travel coordination, itineraries, communications).
  3. General Administrative Support
    • Manage small procurement tasks, including company merchandise, business cards, and gifts.
    • Assist in preparing internal communications, presentations, and updates as needed.
About You

6–8 years' progressive experience in people operations, HR, or business operations support roles.
Strong attention to detail and organisational skills.
Confident using digital systems (Google Workspace, Notion, BambooHR, or similar).
Excellent written and verbal communication.
Reliable, responsive, and comfortable working independently in a remote team.
