A well-established company in South Africa is seeking a Payroll & HR Administrator to manage the end-to-end payroll process and support HR functions. A well-established company is seeking a Payroll & HR Administrator to take ownership of the end-to-end payroll process and ensure accurate, timely and compliant remuneration of all employees.
The role also involves maintaining HR records, supporting HR administration, and coordinating related reporting functions.The ideal candidate will have strong attention to detail, excellent organisational skills, and the ability to maintain confidentiality while working under pressure.
Payroll ProcessingCollect, verify and process timesheets and supporting documentation. Capture payroll data, update employee information and ensure correct approvals before processing. Reconcile payroll data, run monthly payroll, and prepare for management review. Resolve payroll queries promptly and professionally. Distribute payslips and maintain secure payroll records. Third-Party Administration Process and reconcile statutory and third‑party payments (e.g. PAYE, pension, medical aid, garnishees). Maintain updated records and correspondence with third‑party institutions. Monthly Reporting Compile and distribute monthly HR and payroll reports. Maintain up‑to‑date employee lists and other HR reporting documents. Prepare summary reports such as leave balances, birthdays and headcount stats. Leave & Attendance Management Review and approve leave applications via the employee self‑service (ESS) platform. Reconcile attendance records with payroll data. Investigate and resolve leave discrepancies and advise managers on leave trends. HR Administration Prepare employment contracts and onboarding documentation. Maintain accurate, confidential employee files (digital and physical). Support general HR queries and assist with internal HR initiatives. Participate in projects such as employee data verification, tax year‑end processing and EE reporting. Annual & Ad Hoc Projects Support annual payroll‑related activities (e.g. increases, bonuses and tax reconciliations). Assist with HR audits and compliance reporting. Contribute to HR projects and continuous improvement initiatives.
Qualifications & Experience: Qualification in Finance, Payroll Administration or Human Resources would be advantageous. Minimum of 3–5 years' experience in payroll administration within a medium to large organisation. Strong working knowledge of SAGE VIP, ESS and related systems. Solid understanding of PAYE, statutory deductions and payroll compliance.
