Job description

PA to Managing Director Cape Town | Full-time, Permanent | Junior to Mid-level Position SMAC Gallery is looking for a highly motivated and dynamic individual to join our Cape Town team as a Personal Assistant to the Managing Director.

This is a hands‑on role within a fast‑paced contemporary art environment, ideal for someone with exceptional organisational skills, strong communication abilities, and a passion for the arts.

  • Salary: Dependent on experience
  • Start Date: As soon as possible
  • Probation: 3 months
  • Working Hours: Monday to Friday, 09h
  • Two Saturdays per month, 10h
  • Overtime required during busy periods and exhibition openings
Key Responsibilities
  • Provide comprehensive administrative and personal support to the Managing Director
  • Manage the Director's calendar, schedule, and correspondence across multiple companies
  • Handle all travel arrangements (local, regional, and international)
  • Act as a liaison between the Director and internal / external stakeholders
  • Conduct research and assist in project management and special projects
  • Maintain confidentiality and discretion at all times
  • Oversee and assist with the smooth day-to-day running of the gallery, including artwork sales and post‑sale client liaison
  • Artist communication, logistics, and production support
  • Basic project and event management
  • Artwork and database administration
  • Storeroom and supplier management
  • Assistance with installations, gallery design, and communications
Requirements
  • Minimum of 2–3 years' work experience in a professional environment — experience in the arts industry, event / project management, or a gallery environment is a strong advantage
  • Excellent written and verbal communication skills (English)
  • Highly organised, detail-oriented, and able to prioritise effectively
  • Strong interpersonal skills and professional demeanour
  • Proven ability to work under pressure and meet deadlines
  • Discreet, trustworthy, and reliable
  • Advanced Mac and Excel proficiency; Adobe InDesign / Photoshop experience beneficial
  • Valid driver's licence and own car
  • Contactable references essential
