Job Summary

The Order & Logistics Specialist is responsible for managing the process of receiving, processing, and delivering customer orders. They work closely with various departments, such as sales, finance, and manufacturing, to ensure accurate and timely delivery of products. The role involves data entry, account management, and order status updates. Order & Logistics Specialists must have excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

Responsibilities
Processing Orders
  • Receive and review incoming orders
  • Enter orders into the system accurately and in a timely manner
  • Monitor order status and communicate any issues or delays to customers
  • Ensure orders are shipped and delivered on time.
Customer Service
  • Serve as the main point of contact for customers regarding their orders
  • Resolve customer inquiries and complaints in a professional and timely manner
  • Provide updates on order status and tracking information to customers
  • Build and maintain strong relationships with customers to ensure satisfaction and loyalty
Inventory Management
  • Monitor inventory levels and ensure availability of products for incoming orders
  • Coordinate with warehouse and suppliers to replenish stock as needed
  • Conduct regular inventory audits to ensure accuracy and identify any discrepancies
  • Communicate any inventory issues or delays to customers and internal teams
Order Tracking and Reporting
  • Utilize order management systems to track and update order statuses
  • Generate and analyze reports to track order trends, identify areas for improvement, and make recommendations to management
  • Communicate any issues or delays in order fulfillment to relevant parties
  • Maintain accurate and organized records of all orders and related documents
Collaboration and Coordination
  • Work closely with internal teams such as sales, marketing, and logistics to ensure smooth order processing and delivery
  • Collaborate with cross‑functional teams to implement process improvements and streamline order management procedures
  • Communicate regularly with suppliers and vendors to ensure timely and accurate delivery of products
  • Assist with special projects and tasks as assigned by management

Requirements
  • Completed National Senior Certificate or equivalent.
  • Bachelor's degree in Business, Marketing, Logistics or a related field preferred that provides exposure to fundamental theories, principles, and concepts.
  • Minimum of 3‑5 years relevant work experience from similar industry.
  • Strong analytical skills with the ability to interpret complex data.
  • Proficiency in MS Office programs.
  • Proficiency in sales tools and software (e.g., SalesForce, CRM systems).
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively with cross‑functional teams.
