Job description

To plan and facilitate the smooth operations of the fleet in a correct, cost-effective, efficient, and safe manner on a day-to-day basis. Tasks listed may not be limited to.

Position Outputs :
  1. Daily Planning Confirmation : Confirm all planned activities on the board, ensuring the appropriate team is assigned and prepared for the following day's tasks, with support from your assistant.
  2. Tool Verification and Certification : Collaborate with stores to verify that all tools are packed correctly, ensure all required certificates are included, and confirm that the tools meet the correct LTI colour code.
  3. Issuing Warnings : Enforce OHSA regulations and MME policies by issuing warnings for infractions at the depot or reported from site operations.
  4. Morning Team Dispatch : Oversee the dispatch of teams each morning, with assistance from supervisors and/or management, ensuring proper briefing.
  5. Pre-Loading Trucks : Plan for trucks to be pre-loaded the day before whenever possible, and coordinate weekend loading to ensure readiness for Monday's tasks.
  6. Safety and Efficiency Guidance : Provide teams with instructions on completing tasks safely and efficiently within designated working hours.
  7. Monitoring Job Progress : Check the progress of all teams at 9 am, 12 pm, and 3 pm, identify delays, and communicate issues to management for timely solutions.
  8. Breakdown Reporting and Assistance : Report vehicle breakdowns to Stores and assist in arranging repairs or transportation.
  9. Document Control and Action : Ensure all job documentation (HIRA, Job Sheets, Time Sheets) is correctly completed and report discrepancies.
  10. Daily Planning Meetings : Facilitate the 3 pm planning meeting, communicating the next day's plan with relevant teams and management.
  11. Team and Vehicle Tracking : Maintain awareness of team locations, ensure vehicles are booked out and approved using the vehicle issue form.
  12. Operational Efficiency : Conduct operations in a cost-effective manner, seeking continuous improvement.
  13. Improving Systems and Processes : Enhance operational systems, processes, and best practices for efficiency.
  14. Inventory and Purchasing Oversight : Manage material purchasing, inventory planning, and warehouse efficiency.
  15. Legal Compliance : Ensure all processes comply with relevant regulations and standards.
  16. Strategic and Operational Objectives : Assist in formulating objectives aligned with company goals.
  17. Financial Data Analysis : Analyze financial data related to operations to improve profitability.
  18. Quality Control : Perform quality checks in collaboration with Stores and Management.
  19. Staff Recruitment and Supervision : Assist in recruiting, training, and supervising staff.
  20. Customer Service Improvement : Continuously seek to enhance customer service quality.
  21. Job Documentation Management : Ensure all job documents are accurate and complete, with all necessary paperwork attached before teams leave the depot.
  22. Job and Cost Updates : Complete daily updates and adjust costs as needed during the day.
  23. Fuel Card Management : Oversee issuing and returning fuel cards, ensuring proper signing in/out.
  24. Vehicle and Trailer Licensing : Manage licensing to ensure legal compliance.
  25. Key Issuance : Control and document vehicle key issuance.
  26. Daily Costing and Project Management : Complete daily costings and manage projects for financial efficiency.
  27. Day-to-Day Job Planning : Assist in scheduling and resource allocation for daily operations.
  28. Purchasing and Sub-Contractor Coordination : Handle procurement, order numbers, and sub-contractor bookings.
  29. Office Maintenance : Maintain an organized and efficient operations office.
  30. Invoicing Timeliness : Ensure invoicing is completed within 48 hours of job completion and by the 5th of each month, with correct documentation.
  31. Tool List Preparation : Prepare and confirm tool lists for stores, ensuring packing before the 3 pm meeting when possible.
  32. Meeting Support : Assist in managing orders, outstanding documents, and future jobs during the 3 pm meeting.
  33. Staff Inductions and Access : Prepare inductions and access for staff, with updates from the Safety Department.
  34. Daily Planner Preparation : Prepare and distribute an accurate daily planner to management before 5 pm.
  35. Email Communication : Manage emails and facilitate communication between sales and clients.
  36. Fine Management : Track and manage fines, ensuring timely payments and proper issuance to staff.
  37. PPE Management : Oversee PPE issuing and purchasing, with tracking by the Safety Department.
  38. Admin Completion : Complete administrative tasks within working hours, with additional hours on weekends if necessary, with valid reasons for delays.
