Job description
Position

Senior Operations Manager at Bidvest Vericon Outsourcing.

Reporting To

General Manager.

Key Performance Areas
  • Ensure all operations are carried out cost‑effectively and within budget.
  • Communicate and monitor national financials for all sites.
  • Prepare national flash reports.
  • Assist the GM with dashboards, costings and ACB submissions to payroll.
  • Sign off costings and weekly/monthly proforma invoices.
  • Attend resourcing meetings and interrogate daily resourcing.
  • Assess incident‑related claims daily and ensure timely payment.
  • Check and control training costs arising from medicals and training (e.g. forklift licence renewal).
Managing Operations
  • Support Operations and Services managers on complex operational issues and serve as point of escalation.
  • Follow up on daily resources model to ensure all sites are resourced accordingly.
  • Attend weekly/monthly operational, service level improvement and regional meetings.
  • Update and submit weekly/monthly site KPIs and management reports.
  • Conduct weekly meetings with senior services managers to discuss strategy and align on critical operational matters.
  • Lead road shows and site visits to audit compliance.
  • Add value for clients and reduce costs.
  • Maintain and build client relationships.
  • Assist the executive and GM with client interactions at regional and site levels when necessary.
  • Escalate critical issues raised by regional operations managers to the executive.
  • Ensure staff are aware of and instructed on expected work quality standards as per SLA.
  • Continuously review project execution package and contract requirements.
  • Communicate all delays, deviations, interruptions and task completions to the client promptly.
  • Arrange monthly client meetings to review and improve overall service delivery.
Managing Health and Safety
  • Conduct monthly risk analysis highlighting possible risks identified in a process on respective sites, together with outcomes and counter plans.
  • Ensure all sites conduct safety toolbox talks.
  • Check compliance as per audit findings and health and safety rules.
  • Audit health and safety file to ensure compliance.
  • Encourage and enforce reporting of near misses.
Training and Development
  • Ensure all staff on site have been adequately trained in all aspects of site‑specific job descriptions.
  • Conduct training need analysis for all operational matters and ensure continuous training.
  • Assess training quality and conduct refreshers as SOPs or JDs are updated.
  • Drive submission of training matrix to relevant department.
  • Identify supervisors and train them as 2nd ICs, ultimately leading to services manager roles.
Managing People (IR / HR)
  • Assist executive, GM, operations manager and senior services managers in preparing and conducting misconduct inquiries.
  • Coach and develop services managers to prepare for next positions.
  • Attend CCMA cases to represent the business.
  • Report critical IR and HR matters to relevant managers.
  • Screen initial recruitment of operations managers, senior services managers, services managers and supervisors.
  • Ensure correct selection of new recruits with the recruitment department and service managers for junior recruits.
  • Vet all leave planning approved by the service manager to avoid operational jeopardy.
Qualifications
  • Matric / Grade 12.
  • Computer literate: MS Office, especially Excel and Outlook.
  • Minimum 5 years proven experience in operation management, warehousing/retail and/or supply chain.
  • Operations or logistics management background or related qualification.
  • Knowledge of Warehouse Management System.
  • Knowledge of Six Sigma is an added advantage.
  • Appointments shall be in line with the Company’s Employment Equity Policy.
