SUMMARY
Our client is looking for a strategic and results-driven Operations Manager to serve as the operational backbone of the organisation.
Purpose of the job
The Operations Manager will be responsible for refining internal processes, enhancing cross-team coordination, and implementing systems that foster accountability and efficiency.
Key Responsibilities
Operational Strategy and Process Improvement
- Develop, implement, and refine standardised operating procedures (SOPs) for key business functions, including project management, client onboarding, and deliverable creation.
- Analyse existing workflows to identify bottlenecks, inefficiencies, and risks to quality; design and execute improvement plans.
- Establish and monitor key performance indicators (KPIs) for operational efficiency, project health, and team productivity.
- Lead initiatives to leverage technology and automation to streamline repetitive tasks and improve data management.
Coordination & Project Management oversight
- Act as the central hub for coordinating activities between teams, leadership, and support functions.
- Implement and manage an organisation-wide project management framework to ensure visibility into all active projects, deadlines, and resource allocation.
- Facilitate regular operational meetings to ensure alignment, proactively address challenges, and drive decision-making.
- Manage resource planning to balance team workloads and ensure optimal staffing for project success.
Accountability & Performance Management
- Work with department heads to define clear roles, responsibilities, and performance expectations for all team members.
- Develop a system for tracking project milestones, deliverables, and quality standards, ensuring teams are held accountable for their commitments.
- Create reporting dashboards that provide leadership with a clear, data-driven view of operational performance.
- Foster a culture of continuous feedback and professional development, linking operational goals to individual performance.
Quality, Compliance and Ethics
- Ensure all operational processes and methodologies align with the highest standards of patient safety, healthcare ethics and human rights.
- Oversee the quality assurance process for client deliverables, ensuring consistency, accuracy, and adherence to project scope.
- Manage risk by ensuring compliance with relevant legal regulations (e.g., POPIA) in the internal operations.
Minimum Qualifications & Experience
- Bachelor’s degree in Operations Management, Business Administration, Healthcare Administration, or a related field.
- Over 3 years of experience in operations management, senior project management, or a similar role, preferably within a consulting, healthcare, or professional services environment.
- Proven history of designing and implementing process improvements that delivered measurable gains in efficiency and quality.
- Strong experience with project management methodologies (e.g., Agile) and related software.
- Exceptional analytical and problem-solving skills, with a data-driven approach to decision-making.
- Outstanding communication, facilitation, and interpersonal skills, with the ability to manage up, down, and across the organisation.
Highly Desired
- Master’s degree (MBA or similar qualifications)
- Direct experience in the healthcare sector with a demonstrated understanding of patient safety, quality improvement, and healthcare regulations.
- Experience in a scaling consulting or service-based business.
- Certification in Project Management (PMP), Six Sigma, or a similar field
