About The Role

We are seeking an Operations Assistant to support the property management functions, primarily assisting Operational Managers in the Portfolio. Responsibilities include maintaining relationships with tenants, contractors, and operational staff; creating and managing schedules for insurance claims, inspections, and services such as generators, fire equipment, and other building systems; assisting with parking audits; following up on quotations; and preparing emergency flysheets for signature.

What You Will Bring

Inherent requirements for the position (non-negotiable)

  • Minimum Grade 12 qualification with Accountancy as a subject
  • 1-2 years of relevant experience in Facilities or Operations Management
  • Experience in overseeing daily operations and coordinating team efforts

Additional Demonstrable Requirements

  • Proficiency in MS Office (Excel, Word, PowerPoint), SAP, and MDA
  • Knowledge of quality standards, contract management, SLAs, lease conditions, and statutory requirements including OHS Act
  • Excellent communication skills (verbal and written)
  • Basic numeracy skills and understanding of cost budgeting and control

  • Create and maintain spreadsheets for insurance claims and service schedules
  • Populate reports with photos and coordinate with Operational Managers
  • Send reminders for OHS Act inspections and follow up on quotations
  • Assist with general admin duties, liaise with contractors and tenants, and manage compliance documentation
  • Order and control stock of stationery
