Responsibilities

  • Organize PO requisitions from facility suppliers and ensure timely payment.
  • Management and monitoring of stationery and grocery consumption.
  • Ensure allocation of stationery and grocery orders to projects and departments.
  • Obtain quotations and distribute costs for couriers.
  • Relieve receptionist during the day.
  • Inform the relief team of scheduled annual leave and draw up the relief roster.
  • Coordinate internal and external resources and cultivate relationships with vendors.

Job description
  • Organize PO requisitions from facility suppliers and ensure payment is made timeously
  • Management and monitoring of stationery and grocery consumption.
  • Ensure allocation of stationery and grocery orders to projects and departments
  • Obtain quotations and distribute costs for courier to the relevant staff members
  • Relieve receptionist during the day
  • Inform relief team when annual leave has been scheduled and draw up relief roster
  • Team Management
  • New Staff/leaving staff arrangements
  • Order and issue groceries and stationery.
  • Order and issue stationery and allocate to projects/teams as required.
  • Ensure process flows are completed for stationery, groceries, telecoms, driver log and supplier onboarding
  • Ensure all staff are trained to complete their own timesheets
  • Coordinate internal and external resources and cultivate relationships with vendors

Knowledge and Skills:

Education

  • Tertiary Qualification advantageous


Experience

  • Advanced in MS Word, Excel, PowerPoint, Outlook and Teams
  • Minimum 6 years related working experience managing a Team as an Office Manager
  • Strong time management and people skills, high degree of flexibility and excellent ,multi tasking ability
  • Ability to maintain confidentiality of company information
