ABOUT THE ROLE

Khulakwande Construction is seeking a capable, organised and detail-oriented Office Administrator to support our new Routine Roads Maintenance Project, as well as other Khulakwande projects when required. This role requires working between our Randburg Head Office and our Site Office, depending on daily operations. The primary responsibility is managing the Portfolio of Evidence (POE) for compliance purposes.

KEY RESPONSIBILITIES
Portfolio of Evidence (Primary Function – Roads Project)
  • Compile, organise and maintain POE documentation for all daily, weekly and monthly submissions.
  • Collect and verify documents from site supervisors (photos, registers, diaries, work logs etc.).
  • Ensure submissions meet compliance and audit standards.
  • Prepare audit-ready POE files and manage both digital and physical archives.
  • Follow up on missing or incomplete documentation.
Administration for Other Khulakwande Projects
  • Provide admin support across various construction and maintenance projects.
  • Assist with filing, reporting, registers, procurement admin and scheduling tasks.
  • Keep documentation consistent across all projects.
  • Prepare letters, notices, minutes, memos and progress summaries when required.
  • Communicate with project teams to ensure smooth information flow.
EPWP Worker Coordination (When Required)
  • Assist with attendance registers and verification.
  • Track onboarding forms, timesheets, rotation schedules and basic worker admin.
  • Support supervisors with EPWP documentation.
  • File all EPWP-related records within the POE.
General Office Administration
  • Manage calls, emails and communication between teams.
  • Maintain digital and physical filing systems.
  • Assist with procurement tasks (quotes, orders, deliveries, invoicing).
  • Maintain office supplies for Randburg and site office.
  • Support HR admin with timesheets, leave forms and attendance.
  • Assist project managers with ad hoc admin duties.
MINIMUM REQUIREMENTS
  • Matric or equivalent (essential).
  • Office Administration or Business Management qualification (advantage).
  • 1–2 years general administrative experience.
  • Strong organisational and document management skills.
  • Proficient in MS Word and Excel (essential).
  • Ability to travel between Randburg and the site office.
  • Good communication skills, written and verbal.
  • Able to work independently and meet documentation deadlines.
  • No EPWP experience required — support will be provided
