Job summary

A consulting firm in South Africa is seeking an experienced Executive Support Specialist to assist with meeting preparations, travel arrangements, and event coordination. The ideal candidate has at least 3 years of complex support experience and excellent organizational skills. Supporting Executives in any required manner in preparation for meetings or events

Start to finish travel arrangements, local and international, including Visa applications (where applicable), flights, accommodation, car hire, for all staff as well as local and international visitors

Coordinating department meetings and activities

Event coordination including invitations, management of RSVPs, venue sourcing, coordination regarding any special requirements

Departmental follow ups and feedback to Management

Identifying strategic relationship building opportunities, establishing contact and arranging introductions

Providing support for department management, including calendar management, meetings set-up across various time zones, document preparation

Minutes of meetings

Preparing presentations on different subjects as required

Qualification & Skills
  • Minimum 3 Years complex support experience
  • Ability to recognize strategic relationship opportunities, open doors and facilitate introductions
  • Highly organized office administration skills
  • Ability to comprehend, take notes and prepare reports in different subjects
  • Ability to prioritize and manage workload and meet deadlines in a changing environment
