Job summary

A local medical practice in Pretoria is seeking an experienced medical receptionist. You will be responsible for greeting patients, scheduling appointments, and maintaining patient records. The ideal candidate has at least 2 years of experience in a medical setting, is knowledgeable in ICD-10 & RPL coding, and is fluent in English and Afrikaans. This is a full-time position with working hours from Monday to Friday. Immediate start is required.

Our client, a physician based in Pretoria, is seeking to recruit a medical receptionist.

Duties & Responsibilities

Duties and Responsibilities :

  • Serves patients by greeting and helping them, scheduling appointments, and maintaining records and accounts.
  • Welcomes patients and visitors in person or on the telephone and answers or refers inquiries.
  • Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patient's arrival, reviewing service delivery compared to schedule, and reminding providers of service delays for patients by anticipating patients' anxieties.
  • Answers patients' questions and maintains the reception area.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Obtains revenue by recording and updating financial information, recording and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third‑party claims.
  • Maintains business office inventory and equipment by checking stock, anticipating needed supplies, placing and expediting orders, verifying receipt of supplies, and scheduling equipment service and repairs.
  • Helps patients in distress by responding to emergencies.
  • Protects patients' rights by maintaining confidentiality of medical, personal, and financial information.
  • Maintains operations by following policies and procedures, reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.
  • Greeting patients professionally both in person and on the phone.
  • Quickly answering or properly referring questions and issues.
  • Optimizing provider schedules and patient satisfaction with efficient scheduling.
  • Notifying providers of patient arrivals.
  • Comforting patients by anticipating anxieties and effectively answering questions.
  • Ensuring availability of treatment information by retrieving and updating patient records.
  • Verifying financial records and collecting patient charges while filing and expediting third‑party claims.
  • Maintaining office inventory and equipment by anticipating supply needs and expediting supply orders.
Desired Experience & Qualification
  • Matric.
  • Diploma in Administration or Office Administration (beneficial).
  • Experience in a similar medical receptionist position (Minimum 2 years, essential).
  • Experience with medical billing will be advantageous.
  • Strong knowledge of ICD‑10 & RPL coding is essential.
  • Computer literate (MS Office).
  • Experience in VeriClaim & GoodX medical software is advantageous.
  • English and Afrikaans (verbal & written).
Responsibilities for Medical Receptionist

Welcome patients, vendors, pharmaceutical representatives, and other visitors to our medical office.

Scanning pertinent patient information into EMR including patient authorizations, recent labs delivered by patients.

Issue specimen collection containers to patients as needed.

Answer patient questions and aid them with directions when necessary.

Preparing superbills and specimen labels for next day's patients.

Track all phone calls that arrive using our general office number.

Utilize our medical office software to schedule new and follow‑up appointments for our patients.

Respond to emails that arrive using the general office email address.
