Role Overview

As a Maintenance Dispatcher, you will coordinate daily maintenance operations by scheduling technicians, managing work orders, and ensuring residents receive timely and professional service.

You’ll be the central point of communication – balancing technician availability, prioritizing urgent requests, and ensuring work orders are completed accurately and on time.

Key Responsibilities
  • Schedule and assign maintenance technicians based on skill set, location, and workload to ensure timely completion of all work orders.
  • Monitor technician progress, update job statuses, and communicate changes across teams in real time through company systems (AppFolio, Podio).
  • Communicate proactively with residents to confirm appointments, share updates, and manage expectations.
  • Review technician timecards, materials, and notes to verify accuracy before billing or closing work orders.
  • Track KPIs such as response time, completion rate, and scheduling accuracy to support continuous improvement efforts.
  • Collaborate with the maintenance team to adjust coverage, resolve scheduling conflicts, and identify process enhancements.
Required Qualifications
  • Minimum of 5 years of experience in dispatching, scheduling, or maintenance coordination.
  • Proven ability to manage and dispatch 3-5 technicians at once while minimizing downtime or overlap.
  • Solid understanding of maintenance operations, repair timeframes, and material / labor costs.
  • Strong English communication skills, both written and verbal.
  • Reliable high‑speed internet connection – Mbps download / Mbps upload, dual‑monitor setup, and functioning camera / microphone.
Preferred Qualifications
  • Experience using work order management systems such as AppFolio, ServiceTitan, or similar platforms.
  • Prior experience in property management or facilities maintenance.
  • Background in customer service or client communications.
