MAINTENANCE MANAGER

Location: Xenia Aparthotel by Totalstay
Department: Operations (On-site)
Reports to: Property Manager
Manages: Maintenance Team

We are seeking a Maintenance Manager who is responsible for leading all maintenance operations, ensuring the property’s infrastructure, equipment, and facilities are fully operational, safe, and maintained to Totalstay’s standards. This is a hands‑on, operations‑focused role that balances the needs of newly built and older units while supporting seamless guest experiences. The Maintenance Manager is a key operational leader, driving team performance, overseeing preventive and corrective maintenance, managing contractors, and ensuring compliance with safety regulations.

WHAT YOU'LL DO
1. Daily Maintenance Operations:
  • Oversee all maintenance tasks across apartments, common areas, and back‑of‑house facilities.
  • Respond promptly to maintenance requests raised by the front desk and housekeeping.
  • Conduct regular property inspections to identify and address issues proactively.
  • Ensure both penthouses and older apartments meet operational and brand standards.
2. Preventive & Corrective Maintenance:
  • Develop and implement preventive maintenance schedules for all equipment and systems.
  • Document maintenance activities and ensure tasks are completed on time.
  • Identify recurring issues and implement long‑term corrective solutions.
  • Manage warranties and maintenance schedules for new systems in the penthouses.
3. Contractor & Vendor Management
  • Manage relationships with approved contractors and service providers, ensuring quality work and cost efficiency.
  • Obtain quotations, evaluate suppliers, and approve work in line with company policy.
  • Maintain accurate records of completed work and vendor performance.
4. Budgeting & Cost Control
  • Monitor and manage the maintenance budget, ensuring cost‑effective operations.
  • Track expenses and identify opportunities for savings without compromising standards.
  • Maintain inventory control for tools, equipment, and consumables.
5. Health, Safety & Compliance
  • Ensure compliance with all relevant health, safety, fire, and building regulations.
  • Conduct regular safety audits and maintain documentation of compliance.
  • Support sustainability initiatives through efficient energy, water, and waste management.
6. Team Leadership and Staff Management
  • Lead, supervise, and motivate the maintenance team to achieve operational excellence.
  • Prepare and manage staff rosters to ensure adequate coverage for all shifts and emergencies.
  • Oversee HR‑related duties, including attendance, performance reviews, and disciplinary procedures in line with company policy.
  • Conduct on‑the‑job training to develop technical skills, service standards, and safety compliance within the team.
  • Promote a culture of accountability, teamwork, and professional growth.
7. Guest Experience Support
  • Work with the front desk, property manager and housekeeping to address in‑room maintenance issues promptly.
  • Minimise guest disruption through effective scheduling and communication.
  • Ensure all guest units are fully operational and visually presentable for check‑in.
8. Reporting & Communication
  • Provide weekly and monthly reports on maintenance activities, budgets, and outstanding issues.
  • Maintain accurate logs of preventive schedules, costs, and contractor work.
  • Escalate major repairs or operational risks to the property manager.
9. Working Schedule
  • Rotational day shifts, including weekends
