Job summary

A logistics company in Gauteng seeks a Logistics Coordinator to manage customer orders, truck dispatching, and delivery logistics. Job description
Purpose of the Role

To ensure the smooth and efficient coordination of customer orders, truck dispatching, and delivery logistics.

Customer Service & Order Management

Receive customer enquiries via phone, email, or walk-in. Prepare and issue quotes using Sage Accounting, ensuring correct product, pricing, and delivery information. Convert approved quotes to sales orders and coordinate with the production and dispatch teams. Maintain good communication with customers regarding order status, delivery scheduling, and any delays. Manage customer complaints or delivery issues professionally and elevate when necessary. Maintain an updated customer database and ensure all contact information is accurate in Sage.

Logistics Coordination

Plan and schedule daily truck routes and deliveries, ensuring efficient use of fleet capacity. Communicate clearly with drivers and the loading team regarding loading priorities, delivery addresses, and customer requirements. Monitor truck departures, delivery times, and returns to ensure adherence to schedule. Track and confirm delivery notes (PODs) and update Sage accordingly. Liaise with production to ensure stock availability aligns with scheduled deliveries.

Fleet & Driver Management

Monitor the truck‑camera system for driver behaviour, route deviations or incidents. Generate and review daily truck‑camera reports, highlighting any unsafe or non‑compliant driving. Maintain a log of truck maintenance, licensing, and COF (Certificate of Fitness) renewal dates. Ensure drivers comply with company safety policies, PPE use, and vehicle cleanliness. Assist in coordinating fuel usage, trip sheets, and driver timesheets.

Reporting & Administration

Generate daily and weekly logistics reports (deliveries, loads, mileage, fuel usage, delays, etc.). Maintain accurate delivery and collection records. Assist with month‑end reporting for management (sales summary, outstanding deliveries, customer feedback). Track customer order trends to assist management with forecasting.

Communication & Coordination

Work closely with the Factory Manager, Office Manager, and Accounts Department to ensure smooth order flow and accurate invoicing. Keep customers informed of estimated delivery times or changes. Ensure clear communication with drivers throughout the day regarding route changes or urgent orders.

Skills & Competencies

Strong organisational and multitasking abilities. Excellent verbal and written communication skills. Computer literacy – especially Sage Accounting, MS Excel, and email systems. Ability to work under pressure and solve problems quickly. Good interpersonal skills for managing both customers and drivers. Attention to detail and strong sense of accountability.

Requirements

Grade 12 / Matric (Diploma in Logistics or Business Administration advantageous). 2–3 years’ experience in logistics coordination, customer service or transport dispatch (construction materials industry preferred). Working knowledge of Sage Accounting or similar ERP systems. Valid driver’s license (advantageous).

Key Performance Indicators (KPIs)

On‑time delivery rate (% of deliveries on schedule). Customer satisfaction and complaint resolution rate. Quote‑to‑order conversion accuracy and speed. Compliance with transport and safety procedures. Accuracy of weekly logistics and camera reports.
