Overview
An opportunity has become available for a Legal Data Assistant to join the intelligENS department in the Johannesburg or Cape Town offices of ENS.
The Legal Data Assistant will be responsible for supporting the intelligENS department in day-to-day data-related administration.
Key Responsibilities
- Manage end-to-end data archiving and migration across intelligENS’ technology stack and file shares, in particular eDiscovery platforms.
- Manage defensible data and file disposition in collaboration with intelligENS and IT, maintaining complete, audit-ready documentation.
- Catalogue, organise, and maintain retrievable project archives and client data across all matters.
- Assist in chain of custody, data transfer and migration processes and rigorous quality checks on intelligENS outputs to ensure accurate, complete records and audit trails.
- Document and maintain standard operating procedures, templates, and workflow guides; support process improvement and standardisation initiatives.
- Troubleshoot technical issues related to hosting platforms and eDiscovery tools, escalating to the appropriate teams as needed.
- Conduct regular audits and prepare status reports on hosting environments, user access, and data usage and volumes to align with applicable data privacy requirements.
- Open and configure eDiscovery databases/workspaces; set up and administer user accounts and permissions within the hosting platforms.
- Provide general administrative support including scheduling, invoicing, and managing shared folders.
Qualifications, Skills and Experience Required
- Matric / Grade 12 (compulsory).
- Bachelor’s degree in information/data management, computer science, or related (preferred).
- At least three (3) years of relevant data archiving experience.
- Strong attention to detail and a diligent work approach.
- Highly organised and demonstrated ability to prioritise tasks, working independently within a team environment.
- Ability to perform quality control analysis and report any issues with data with clear written and verbal communication skills.
- Knowledge of record keeping techniques, methodologies, and procedures and a methodical approach to problem solving.
- Familiarity with ESI tools and knowledge of eDiscovery procedures and resources desirable.
This is a demanding but stimulating position which will require working outside of normal office hours, when necessary.
