Job description

The Junior Bookkeeper / Finance Administrator plays a key role in supporting the Finance Manager and Managing Director with day-to-day bookkeeping and administrative tasks.

This is a hands-on, in-office position that involves processing transactions, handling returns, maintaining records, and assisting with daily, weekly, and monthly financial routines to keep the business running smoothly.

Key Responsibilities
  • Capture and process supplier invoices, credit notes, and customer payments.
  • Perform daily bank statement allocations and assist with reconciliations.
  • Maintain accurate filing (digital and physical) of financial documents.
  • Handle and process product returns and ensure correct credit notes are issued.
  • Support the Finance Manager with ad-hoc administrative tasks and data capture.
  • Assist with weekly supplier payment runs (preparing payment batches for approval).
  • Follow up on outstanding debtor payments and update ageing reports.
  • Participate in weekly stock and returns reviews with operations and warehouse teams.
  • Help prepare monthly management packs by collating invoices, statements, and reconciliations.
  • Support the Finance Manager during month-end close (journals, reconciliations, reporting).
  • Provide general administrative support to the Managing Director and team.
  • Coordinate and maintain internal records such as supplier contracts, credit applications, and staff expense claims.
  • Assist with internal communication, filing, and document management to ensure smooth office workflow.
Key Requirements
  • Education: Matric (Grade 12) required; Bookkeeping or finance administration certificate / diploma an advantage.
  • Experience: 13 years experience in bookkeeping, finance administration, or office admin role.
  • Skills: Decent understanding of accounting principles and financial documents.
  • Proficiency in Excel and accounting software (Xero, CIN7 preferred).
  • Strong organisational skills and attention to detail.
  • Ability to work with multiple stakeholders and meet deadlines.
