Job summary

Job description

Our client is a Private Company that owns several established retail outlets in the Western Cape. They are expanding and need enthusiastic people to support this growth, including an HR Officer position based at one of our stores in Cape Town.

Duties & Responsibilities

The IR and HR Officer is responsible for comprehensive Industrial Relations and Human Resources support across all stores. The role ensures compliance with labour legislation, company policies and HR best practices while supporting managers with disciplinary performance recruitment and employee‑relations matters. The Officer also assists with HR administration data integrity and the effective implementation of HR processes across the Group.

Reporting Line
  • Reports directly to the Group HR Manager.
  • Functionally supports Regional Operations Managers and Store Management on IR and HR matters.
Key Requirements
Industrial Relations (IR)
  • Management of the full disciplinary function from issuing written warnings to coordinating and presenting the company’s case in disciplinary inquiries.
  • Guide and support store and regional managers on matters related to misconduct, incapacity, poor performance, grievance handling and conflict management.
  • Prepare, coordinate and manage disciplinary inquiries ensuring all documentation, evidence and notices comply with the Labour Relations Act.
  • Represent the company in internal hearings and assist with matters referred to the CCMA.
  • Provide advice on progressive discipline and ensure consistency in the application of company policies.
  • Investigate incidents, compile investigation reports and recommend appropriate action.
  • Maintain an IR tracker and ensure all cases are recorded, monitored and closed out.
Human Resources (HR)
  • Support end‑to‑end recruitment including drafting adverts, screening reference checks and onboarding documentation.
  • Manage the full contract lifecycle including drafting, issuing and administering fixed‑term contracts, probation contracts and permanent contracts as well as monitoring expiry dates and processing conversions from fixed‑term to permanent employment.
  • Ensure accurate completion of EEA1 forms, employee files, HR documentation and induction processes.
  • Assist with HR compliance requirements including Employment Equity, Skills Development and Health & Safety.
  • Maintain HR records, staff movement forms, confirmation letters, contracts, job descriptions and database updates.
  • Assist with the roll‑out of HR policies, training and communication across stores.
  • Conduct on‑site visits to provide HR support, follow up on outstanding matters and ensure procedure compliance.
Payroll & HR Systems Support
  • Work with Payroll and HRIS teams (e.g. Sage 300 People) to ensure accurate employee data, movements and documentation.
  • Check employee changes, terminations, promotions and benefits updates for accuracy.
  • Assist stores with timesheets, hours queries and policy compliance on work schedules.
Performance & Compliance
  • Assist with performance management processes, performance warnings, PIPs and monitoring progress.
  • Conduct compliance checks at stores regarding HR processes, files, PPE registers, training attendance and employment documentation.
  • Support audit requirements by ensuring HR documents are accurate and updated.
Employee Engagement & Communication
  • Assist in communicating HR initiatives, updates, training and company memos.
  • Provide support to employees regarding HR queries, leave policies, contracts and grievance matters.
Desired Experience & Qualification
  • Grade 12.
  • HR or Labour Relations qualification (preferred).
  • 2 to 3 years HR or IR experience, preferably in Retail or FMCG.
  • Knowledge of BCEA, LRA, EEA and company policies.
  • Strong administrative and organisational skills.
  • Experience in disciplinary processes and investigations.
  • Valid driver’s licence.
  • Proficiency in MS Office, Time and Attendance and HR systems.
  • Willingness to travel to all stores within the Group, including areas such as Gugulethu, Khayelitsha, Eerste Rivier, Belhar, Athlone and surrounding regions.
