ROLE OVERVIEW

A small, growing online fitness coaching business focused on providing valuable content to generate leads. The business owner is highly engaged in client fulfillment and content creation, requiring a high‑quality, professional Virtual Assistant to manage the top‑of‑funnel sales process and drive business growth.

They are seeking an experienced, proactive, and assertive Part‑Time Virtual Assistant to take ownership of the lead generation and appointment setting process. This role is crucial, as the VA will be the "bloodline of the business," responsible for turning content engagement into qualified sales appointments for the business owner. The ideal candidate will have a strong sales background, experience in the fitness / coaching industry, and the potential to grow into broader marketing and sales functions over time.

KEY RESPONSIBILITIES
  • Daily DM Lead Management & Nurturing (Top Priority – Revenue Driver)
    • Initial Outreach: Check and respond to all new DMs and story replies daily using the Owner's tone (warm, curious, supportive).
    • Trust-First DM Flow: Follow the defined sales process: Initiate – Nurture – Build – Pitch. Personalization: Initiate personalized direct messages using discovery questions and reviewing prospect pages to establish rapport and qualify interest. Re‑engagement: Re‑engage old conversations weekly with soft check‑ins or relevant freebies. Communication: Maintain consistent response times and meaningful engagement across active conversations.
    • Booking Calls & Pipeline Management
      • Conversion: Notify the Owner when a lead reaches "pitch-ready" status and proceed to book the call in Calendly.
      • Scheduling: Send the scheduling link to hot leads and confirm call attendance, sending friendly reminders 24 hours before the call.
      • Follow‑up: Record call outcomes (Show / No-Show / Enrolled) and follow up hours post‑call for undecided leads with supportive resources.
    • Lead Tracking & CRM Updates
      • Airtable Mastery: Log every new lead within 24 hours (name, handle, source, status, and notes) and maintain accurate, consistent tracking within Airtable CRM.
      • Status Updates: Update lead status daily (Active – Nurture – Booked – Enrolled – Dead).
    • Metrics: Track performance metrics daily, including DMs sent, conversations started, replies received, and calls booked.
    • Hotspot Lead Generation (Learning + Execution)
      • Proactive Sourcing: Learn and implement the Hotspot Lead Generation SOP (Instagram search, hashtags, engagement strategy).
      • Daily Execution: Spend minutes daily engaging on stories, reels, and comments within target audience pools to expand reach.

QUALIFICATIONS & SKILLS

  • Excellent English Fluency & Communication: Maintain excellent written and spoken English fluency and a professional communication style.
  • Location Preference: Latin America or South Africa are preferred regions due to cultural alignment with the assertiveness required for sales roles.
  • Technical & Hard Skills
    • CRM / Tracking: Proficiency with Airtable or similar CRM systems is mandatory.
    • Platform Expertise: Expert-level use of Social Media Platforms (specifically for direct outreach/DMs).
    • Scheduling Tools: Experience with Calendly and Google Workspace (Google Docs, Calendar).
    • Industry Knowledge: Prior experience or familiarity with the online fitness, coaching, or health industry is highly desirable.
