Role Purpose
The Import-Export Co-ordinator is responsible for overseeing and coordinating all aspects of global trade operations. This includes ensuring compliance with customs regulations, managing shipping and transportation logistics, and maintaining accurate records related to international shipments. Primary focus of the role will be the administration and support on Import-Export shipments and tasks.
Requirements
- 3 year Diploma - Import / Export trade related
- Industry related courses specific to Import and Export processes
- 4-5 years' experience in import / export operations, logistics, or customs compliance
- Certification in International Trade (e.g., Certified Customs Specialist) will be advantageous
- Knowledge and experience of customs documentation and procedures, warehouse & transport / logistic procedures, international trade regulations and documentation processes
- Excellent organizational and multitasking skills with attention to detail
- Strong communication and interpersonal skills, with the ability to work effectively with cross-functional teams
Duties and Responsibilities
- Coordination: Organize and oversee the movement of goods, ensuring timely deliveries
- Documentation: Prepare and review shipping documents (invoices, packing lists, and customs declarations) with meticulous attention to detail for accuracy in documentation, record-keeping, and compliance
- Compliance: Ensure adherence to all relevant international trade regulations and company policies; identify Import / Export compliance risk and advise on SA Imports & Export restrictions & regulations
- Capturing of orders: Support and assist with capturing of all orders
- Permit application processes for Import & Export permit applications
- Inspections and validation of Export-Import shipments and documentation
- Liaising with external stakeholders such as inspection companies, government bodies
- Book inspection & application of certificates for health department, Vet & PPECB
- Preparing and processing of Proforma & final invoices, related shipping documents (Veterinary Permits, COO, SADC, COA's, B / Lading)
- Export checklist and process to be managed and completed with each shipment
- Monitoring: Track shipments and provide updates to internal teams and clients
- Problem‑solving: Address and resolve any issues that may arise during the import / export process, such as delays, damages, or customs holds
- Record keeping: Maintain accurate records of all import and export transactions
- Stay updated: Keep abreast of changes in international trade laws and regulations
Tariff Determination
- Tariff determination of classifying goods and determining the applicable rate of duty (import tax) when goods are imported into a country.
This process ensures that the correct amount of customs duty is applied to imported goods, and it is crucial for both importers and customs authorities. Harmonized System (HS) classification, to categorize traded products for customs and international trade purposes. Knowledge of Incoterms and Customs legislation, understanding of international trade terms.
