Immigration Coordinator (French/Portuguese Speaking)

Contract: Fixed Term Contract (6 months)

Team: Africa Coordination Centre (ACC)

The role:

This role is responsible for providing administrative support, and assistance with short term assignments in the ACC case team. The position directly contributes to the efficiency of the team by ensuring smooth handling of case-related tasks and consistent operational support. Key responsibilities include managing assigned workflow, assisting with documentation, liaising internally with consultants, and clients where necessary.

What your day will look like:
  • Complete assigned tasks/cases within team and/or client timelines, following team protocols, processes and templates
  • Respond to internal and external communications within team and/or client SLAs or timelines, following team and/or client protocols
  • Produce work with high accuracy, proactively escalating issues to supervisor
  • Apply new processes and best practice improvements as directed
  • Follow documented firm standards and policy to mitigate risk and ensure regulatory, operational and client compliance (e.g., complete mandatory training such as Data Privacy, follow Client Protocols, etc.)
  • Use Connect and/or other team data management systems or processes accurately and in line with team and/or client protocols
  • Actively participate in a learning opportunity (e.g., a virtual training program such as Fragomen Academy) and apply learning in own role
  • Actively seek guidance from own team and supervisor where needed
The team:

The Africa Co-Ordination Centre supports inbound work into sub-Saharan Africa supporting all Western, Southern, and Central African jurisdictions with work and residence permits. We serve as in-house country subject matter experts providing advice and acting as a single point of contact for relocations in the region. We are based in the Johannesburg office and partnering with our wide network of partners in the region for on the ground submissions.

  • Strong administrative and data entry skills from previous work experience
  • Ability to work flexibly and accurately in a fast-paced environment
  • Demonstrate exceptional planning and time management skills with an ability to multi-task
  • Be proactive and able to act under instruction with limited supervision
  • Be able to plan workload, meet deadlines and prioritise work/tasks
  • Ensures work completed is accurate, to a high quality and follows standard layouts
  • Completes tasks within agreed timeframes and in line with expectations
  • Implement effective processes to manage workflow and meet deadlines
  • Being confident in verbal communication
  • Demonstrates proficiency in word processing, Internet and email systems
  • Must possess Portuguese or French language skills, with strong ability to communicate effectively in writing, reading, and conversation
Preferred skills:
  • Experience drafting applications / completing various forms related to visas, and/ or immigration related processes such as work, and residence permits.
  • Organizational, and strategic thinking skills
