Overview
Dragonfly Aerospace is looking for an HR Specialist to join our team in Stellenbosch. In this role, you will provide day‑to‑day support across a range of HR functions to ensure smooth and efficient people operations.
Key Responsibilities
- HR Administration: Ensure that HR policies, procedures, and employee documents are implemented through Odoo and other company processes.
- Create/revise/maintain comprehensive job descriptions for all roles within the company.
- Administer employee contracts, amendments, and employment agreements.
- Manage and maintain HR information systems (Odoo ERP), ensuring employee data is accurate and up to date.
- Record and update changes to employment status, personal information, and other HR data.
- Deliver high‑quality HR support to business units, responding to employee and manager queries efficiently.
- Recruitment and Selection: Attract, screen, and select qualified candidates for vacancies using multiple channels, including Signal Hire, referrals, and headhunting.
- Collaborate with line managers to develop job descriptions and post vacancies on internal and external platforms.
- Conduct candidate pre‑screening, verify salary expectations, and provide recommendations aligned with market trends and internal equity.
- Coordinate and participate in interviews, reference checks, and background verifications to ensure high‑quality hires.
- Maintain the recruitment module in Odoo and ensure records are up to date.
- Schedule interviews and serve as the primary point of contact between candidates and hiring managers.
- Onboarding Process: Coordinate new employee start dates and pre‑onboarding activities.
- Manage all new starter documentation, including offer letters, employment contracts, personal and financial information, and onboarding materials.
- Schedule and facilitate induction programs and orientation sessions.
- Monitor probationary periods and conduct reviews in line with company policies.
- Ensure accurate employee setup in Odoo and compliance with regulatory and legal requirements during the onboarding process.
- Employee Relations: Foster positive relationships between employees and management to support a collaborative workplace culture.
- Facilitate grievance handling, conflict resolution, and internal investigations as needed.
- Support with the implementation of policies and initiatives that promote employee engagement, well‑being, and compliance with labour legislation.
- Support the monitoring of employee retention and proactively identify potential risks.
- Performance Management and Development: Support the implementation and management of the performance evaluation process for business units.
- Work with managers to ensure fair, consistent, and documented performance evaluations.
- Assist in developing performance improvement plans for underperforming employees.
- Support the creation of individual development plans and identify training needs in collaboration with managers and employees.
- Employee Engagement and Motivation: Monitor employee morale feedback mechanisms and other engagement tools.
- Support internal communications on all company platforms.
- Assist in organising and executing staff motivation and recognition initiatives.
- Compliance: Maintain accurate employee records and ensure compliance with HR, legal, and regulatory requirements.
- Conduct internal HR audits and collaborate with legal or regulatory teams to ensure workplace adherence.
- Support health and safety initiatives.
- Offboarding: Support the coordination of resignation or termination processes, including discussions with employees, retention options, and exit planning.
- Communicate employee departures to relevant stakeholders.
- Conduct exit interviews and ensure completion of Employee Exit Interview Forms.
- Facilitate final payroll and leave payouts in coordination with the Finance department.
- Archive employee records in Odoo upon exit.
- HR Analytics: Track employee movements, promotions, and remuneration updates.
- Generate reports to inform business decisions and support HR strategy.
- Document and maintain assigned HR processes using approved company resources.
- Communicate and coordinate process updates with stakeholders to ensure efficiency and clarity.
- Monitor compliance with process responsibilities and ensure timely execution by all participants.
- Maintain internal order of process documentation (files, diagrams, templates) on company drives.
- Continuously evaluate HR processes and recommend improvements or adjustments as needed.
- Provide guidance to managers and employees on process execution and compliance.
- Reporting: Report to the General Manager on a monthly basis.
- Report to NS via the Head of HR.
- Social and Events: Assist business units with planning and executing company social events.
Competencies and Skills
Technical / Functional Skills
- Solid understanding of South African labour legislation, including the Labour Relations Act (LRA) and Basic Conditions of Employment Act (BCEA).
- Experience with HR administration processes – maintaining personnel files, processing leave, and updating HR records and systems.
- Knowledge of recruitment and onboarding processes, including drafting job adverts, coordinating interviews, and managing new‑hire documentation.
- Competence in HR systems and software (e.g., SAP, Odoo, or similar HRIS tools).
- Strong Microsoft Office skills, especially Excel, Word, and Outlook or related software (G‑Suite).
- Understanding of performance management cycles and supporting line managers with documentation and feedback tracking.

Education / Qualification Requirements
- 3+ years’ relevant experience.
- A Bachelor's degree in Psychology or Industrial / Organisational Psychology.
- Knowledge of South African Labour Laws.
- Experience in working with technical / engineering teams.
- Experience in the administration and implementation of the full cycle of HR processes: onboarding, performance management, talent management, training and development, offboarding.
- Experience with HR analytics and HR processes automation.
- Advanced proficiency in English is essential.
- Afrikaans highly advantageous.
