An exciting opportunity has become available in the Human Resource department in the Johannesburg office. The individual will be responsible for providing full administrative support to the Human Resources team. The ideal candidate needs to be a proactive, hardworking, self-starter with excellent interpersonal and organising skills and the ability to work independently with minimal supervision.
Education and experience
- Matric / Grade 12
- A diploma or similar qualification Human Resource would be advantageous.
- At least 1 - 2 years' experience in the Human Resources administration process is essential (law firm experience will be advantageous)
Tasks and responsibilities
Human Resources
- Assisting with online and paper-based recruitment database;
- Scheduling and coordinating interviews and exit interviews of all relevant stakeholders;
- Capturing interviews notes and minute taking;
- Preparing interview packs for panels as required;
- Providing feedback on web queries within a specified timeframe;
- Support Human Resources Business Partners with general administration;
- Scheduling of probation and performance discussions with internal stakeholders;
- Maintaining HR and employment records by updating and communicating new appointments, transfers, terminations, changes in job titles, etc;
- Collating onboarding documents for new hires and exit documents for leavers;
- Processing invoices received from recruitment agencies;
- Co-ordinating assessments, biometric and MIE checks; and
- Filing and ad hoc administration.
- Administer employee benefits including medical aid, provident fund and risk benefits by ensuring relevant forms are complete and submitted timeously.
Career Fair and University Events
- Manage all administration involving university career days and events;
- Responsible for University open days and any other career days as and when required;
- Assist with logistical arrangements for campus events, including arranging set up and
- breakdown of equipment;
- Ensure and arrange enough company representatives are present at all campus events; and
- Liaise with courier services to drop off and collect marketing material.
Vacation Programme
- Shortlisting of candidates and graduates : collating outstanding documentation; scheduling interviews and regretting unsuccessful applications;
- Liaise with successful students regarding the requirements of vacation programme;
- Assist with administration involving the vacation programme; and
- Scheduling of panel interviews with the National Graduate Recruitment Committee accordingly.
Candidate Attorney Programme
- Co-ordinating the induction programme, job shadow programme and vacation programmes; and
- Collating of relevant documentation i.e. employment contracts, personnel data sheets etc.
Legal Practice Council
- Ensure correctness of all CA registration documentation; and
- Ensure that Legal Practice Council documentation is duly completed, paid up and submitted timeously.
Reporting
- Pulling of data from the HR system and providing stats to business, such as headcount, recruitment, termination and transformation stats. Able to translate data into visual information
- Monthly management and updating of the firms' organograms.
- Collating, reporting and submission of data to the Pitch team (tenders).
Projects
- Assist with the compilation and project management of HR firm communication.
- Assist with the implementation and administration of HR projects, such as the mentorship programme and the firms' values awards.
- Under guidance, manage the firm's wellness initiatives, such as wellness day, and cancer awareness.
