An exciting opportunity has arisen for an HR Associate to join a dynamic payroll services company that is expanding its offering into HR outsourcing. This is a new role within a growing service line, offering a hybrid working arrangement based primarily in Paarl, with two days per week in Worcester for the first year.
We’re looking for a confident self-starter who can take ownership, lead by example, and help drive this new HR service forward. It would suit a candidate coming from a similar HR role, perhaps an experienced professional or mom looking to scale down slightly while still engaging in meaningful, growth-oriented work.
Responsibilities:
HR Administration & Documentation:
Prepare and maintain employee files and HR records for assigned clients.
Draft and issue employment-related documentation such as:
Employment contracts (permanent, fixed-term, part-time)
Confirmation, extension, or termination letters
Support onboarding and offboarding processes, ensuring all documentation is complete and compliant.
Maintain digital HR filing systems and ensure compliance with POPIA data protection standards.
HR Compliance:
Assist clients in meeting obligations under BCEA, LRA, UIF, and COIDA.
Conduct periodic HR compliance audits for client employee files.
Support development and implementation of HR policies and standard operating procedures.
Keep clients informed on relevant changes in HR and labour legislation.
Ensure all HR templates and documentation remain legally compliant and up to date.
Employee Relations Support (Advisory Level):
Provide basic HR guidance to clients on disciplinary and grievance matters.
Draft and provide disciplinary documentation (warnings, notices, hearing records).
Assist clients with termination and exit documentation (UI19, certificate of service, etc.).
Escalate complex HR or labour relations issues to the HR Manager for further intervention.
Client Service Delivery:
Act as the primary HR point of contact for assigned client portfolios.
Provide timely and professional responses to client HR queries.
Schedule and conduct regular HR check-ins with clients to ensure service quality and compliance.
Maintain client relationship logs, tracking deliverables and key dates.
Prepare monthly HR status reports for each client (new hires, terminations, leave, compliance updates).
HR Projects & Value-Add:
Assist in setting up HR structures for new clients (HR file setup, policy packs, onboarding processes).
Contribute to development of standard HR templates and process improvements.
Support internal HR initiatives to enhance client experience and efficiency.
