Job Description

This role provides support to the Talent team and wider organisation, in particular the retail team, ensuring efficient Talent operations and supporting an engaging workplace through handling HR-related queries; completing HR administrative tasks, coordinating recruitment processes, and assisting with employee onboarding and benefits and supporting culture-building initiatives.

Responsibilities
  • HR Business Strategy and operating plan: Support the Talent Exec and Talent Manager with the HR strategy implementation and execution according to agreed accountabilities and within budget.
  • Business Partnering / HR Consulting: Providing guidance and HR support and risk mitigation solutions to the retail team.
  • IR Management: Address IR related issues and queries as per company disciplinary code and procedures. Provide IR Guidance to employees and assist in drafting documentation ensuring processes are fair and action plans are consistent.
  • Talent Acquisition: Manage end to end recruitment process for retail-based vacancies, in line with required standards, and assist HR Manager with Office-based recruitment. Manage vacancies in line with blueprint, succession plans and talent maps; continuously building an active talent pool of high calibre candidates. Facilitate the Dermalogica orientation and probation process. Recruit in line with the EE plan.
  • Drive performance: Support line managers and team members with general queries related to PM and guidance on monitoring and driving high performance within the retail team. Provide guidance with PM processes, such as Poor Performance.
  • Training and development: Coordinate training initiatives in line with the training and development roadmap; set up; arrange catering where required and manage and file attendance registers. Submit PO’s and keep these on file for WSP reporting.
  • Culture and employee well-being: Lead by example as a culture ambassador ensuring behaviour is aligned with the Company values. Encourage, implement, and reinforce the company values and leadership principles with all stakeholders encouraging a healthy, motivated and harmonious work environment. Assist with the coordination and set up of Employee Engagement Initiatives as well as events and celebrations such as DNA Friday. Drive EE survey participation amongst the teams. Set up and drive engagement workshops. Drive engagement initiatives identified.
  • Payroll and benefits administration: Assist teams with access to employee benefits (pension, med aid; Group life; EAP). Ensure accurate HR documentation from the retail department is sent through to Payroll within agreed deadlines; Conduct checking on input and follow-up on queries and outstanding issues. Action all payroll-related administration timeously i.e. new engagements, contracts; terminations, employee movement processes and submit relevant documentation to payroll. Ensure accurate record keeping of employee information on VIP payroll. Submit payroll documentation to the payroll department for filing / maintenance of employee records. Assist with payroll queries.
  • HR admin and Compliance: Assist Talent Manager with compilation of annual EE and WSP reports and plans ensuring compliance. Take meeting minutes (EE & WSP as well as OHS committee). Hold position of OH&S Safety Rep and coordinate the committee and certifications. Set up training of new OH&S officers. Ensure workplace compliance and submission of labour department documentation as required for labour department audits. Manage the onboarding and offboarding administration in conjunction with IT and Payroll admin e.g. email set up & removal; payroll documentation. Ensure adherence to policies and procedures. Track compliance within stores.
  • Systems and reporting: Manage and update the HR reporting tracker on a monthly basis. Manage the ESS leave system; updating workflow groups and providing support and managing queries, pulling leave reports as required. Support the Talent Executive and Talent Manager with ADHOC reports as required.
