Overview
An exciting opportunity for an experienced Junior HR Administrator. This is an on-site role. Reporting into the HR Lead, the purpose of the role is to provide overall processing and administrative support to the HR department.
Purpose of the Role:
To support the HR and operations teams by delivering efficient and compliant HR administrative services across the employee lifecycle. This includes onboarding, termination, industrial relations support, and NBC compliance. The ideal candidate will have hands-on experience using ERS Time and Attendance and Sage 300 People, and be comfortable working in a transport and warehousing environment.
Responsibilities
- HR Administration & Systems: Maintain and update employee records on Sage 300 People (HR and payroll modules); Use ERS Time and Attendance to manage timesheets, shifts, absenteeism, and overtime tracking; Monitor time & attendance data for irregularities and liaise with line managers for corrections; Ensure smooth integration of ERS data into payroll; Generate standard and ad-hoc reports from both systems (e.g., absenteeism, headcount, leave balances).
- Employee Lifecycle Administration: Assist with onboarding process including offer letters, contracts, system onboarding, and inductions; Process terminations: resignations, dismissals, and retrenchments—ensuring all paperwork is complete and filed; Conduct exit interviews, document findings, and raise any red flags to HR management; Track probationary reviews, fixed-term contracts, and notify managers of follow-up dates.
- Industrial Relations (IR) & NBC: Support with disciplinary and grievance processes: prepare documentation, take minutes, and schedule hearings; Maintain accurate disciplinary records and update HR files accordingly; Liaise with NBC (National Bargaining Council) on matters related to leave and payouts.
- General HR Support: Support payroll processing by submitting accurate employee changes, leave data, and ERS exports; Coordinate staff training sessions and maintain training records; Maintain compliance with BCEA, LRA, POPIA, and all internal HR policies; Assist during internal and external HR audits (e.g., NBC, Health & Safety, BEE).
Requirements
- Qualifications: HR Diploma or Certificate (NQF Level 5 or higher preferred); Additional training in labour law or payroll (advantageous).
- Experience: Minimum 1–2 years HR administration experience; Prior work in transport/logistics/warehousing industry (advantageous); Exposure to disciplinary processes and IR support; Hands-on use of ERS Time and Attendance (essential); Sage 300 People (essential).
