Commitment: Full-time (45 hours per week, Monday to Friday, with occasional weekend work as per roster)

Job Description

Position: Hospitality Administrator

Location: Franschhoek, Bridges Retreat Centre

About the Role: We’re looking for a friendly, organised, and proactive Administrator who loves bringing order, care, and excellence to everything they do. This pivotal role ensures the smooth running of all administrative processes at Bridges Retreat Centre — supporting both our Retreat Operations and Outdoor Education Programme teams. You’ll help manage bookings, coordinate communication, oversee records and finances, and make sure everything runs seamlessly behind the scenes. You’ll also be the friendly face to welcome guests and make them feel at home. Most importantly, you’ll help create the calm, well-organised environment that allows others to experience rest, growth, and connection.

Roles and Responsibilities

Retreat & Guest Administration

  • Handle booking enquiries and maintain the bookings calendar
  • Manage reception and guest communication, ensuring every visitor feels welcomed and cared for
  • Coordinate bookings quotes and invoices (Xero), and track deposits and payments
  • Liaise with Operations, Kitchen, Facilities, and Housekeeping teams to ensure smooth retreats
  • Communicate with retreat organisers and visiting groups, ensuring their needs are clearly understood and met

Outdoor Education Programme (OEP) Administration

  • Assist OEP manager with essential administrative tasks
  • Create invoices for facilitators and school commitment fees, and monitor payment reconciliation
  • Assist with pre- and post-camp assessment coordination (printing new forms, scanning in completed forms)
  • Maintain accurate records and digital filing system for assessment forms, attendance registers and indemnity forms
  • Coordinate purchase, delivery and packing of toiletry packs with various stakeholders

Office & Financial Administration

  • Manage record keeping, filing, and general office systems
  • Process supplier invoices and payments and maintain basic financial administration
  • Maintain appropriate stock levels of office and hospitality supplies
  • Uphold POPIA compliance in all handling of guest data
  • Create an environment of warmth, professionalism, and excellence across the Bridges office
Qualifications and Requirements
  • Minimum 3 years’ proven administrative experience
  • Proficient in Microsoft Office (Word, Excel, Outlook, etc.); confident in learning new systems such as Xero
  • Excellent written and verbal communication skills
  • Strong organisational and multitasking abilities
  • Valid Driver’s Licence
  • Self-starter who enjoys working both independently and collaboratively
  • Alignment with the Christian ethos and mission of Bridges Retreat Centre
