Job description

A vacancy exists for a Hospita l Senior Secretary based at Life St Georges Hospital, reporting to the Hospital Manager. This position is responsible for providing full secretarial and administrative support to the Hospital Manager and Management Team.

Critical Outputs
  • Typing and formatting correspondence and documentation in MS Word (including month end reports)
  • Document Control
  • Managing and maintaining an efficient filing system
  • Managing and answering telephonic enquiries
  • Creating and updating relevant spreadsheets in MS Excel
  • Designing and formatting presentations on MS PowerPoint
  • Diary Management
  • Arranging events
  • Co-ordination and management of travel arrangements when necessary
  • Ordering of stationery and office equipment
  • Arranging meetings, conferences and functions – agenda, venue, technical equipment & catering
  • Greeting guests for meetings
  • Taking minutes at meetings
  • Handling the administration process for Capital expenditure items
  • Escalation of patient complaints and compliments to the necessary manager
  • Assisting with Marketing activities
  • Extracting and collating statistics
  • Co-ordinating month end reports
  • Interfacing professionally with internal and external customers
  • Ability to deal with confidential information
Requirements
  • Matric plus Secretarial Diploma / relevant equivalent qualification is a must
  • Minimum of 4 years Secretarial / Administration experience
  • Extensive proven training in and knowledge of MS Office is a pre-requisite
  • Sound mathematical skills
  • Accuracy, speed and attention to detail are important, as are good language and written skills
