Position Overview

As a Remote Executive Assistant at LawPLA, you will play a pivotal role in supporting the Owner in managing various tasks and activities that are essential to the firm's success.

You will work closely with the Owner and collaborate with our Firm Administrator / Director of Operations to ensure seamless coordination of business duties.

This is a full-time, remote position and we welcome applications from individuals located in different countries who are committed to service and excellence.

This position requires an individual to have their own computer, workspace and high-speed internet connection in order to carry out the role effectively.

Key Responsibilities
  • Answer and screen phone calls, providing timely responses and maintaining professionalism in all interactions.
  • Monitor and manage email correspondence, adhering to established procedures and systems for organization and record‑keeping.
  • Calculate and document deadlines, ensuring accurate scheduling and timely completion of tasks.
  • Review and sound alarms for upcoming deadlines, proactively identifying and addressing potential conflicts or issues.
  • Coordinate and manage Owner's calendar, setting and updating meetings and appointments as necessary, making his schedule as frictionless as possible.
  • Assist in organizing business travel, including arrangements for accommodations, transportation, and other logistics.
  • Liaise with professional contacts and referral sources to schedule meetings and maintain relationships.
  • Attend C‑Suite meetings, take notes, and assist in task management and calendar coordination.
  • Prepare meeting recaps, follow‑up actions, and correspondence such as thank‑you cards and notes.
  • Assist in making calls, including follow‑up calls and outreach as needed.
  • Remind the Owner of pending tasks and commitments, ensuring nothing falls through the cracks.
  • Provide support in fleshing out and executing on big ideas and tasks with minimal detail.
  • Handle tasks requiring discretion and initiative, including making calls or taking actions the Owner prefers not to handle directly.
Qualifications
  • High school diploma or equivalent or better.
  • Proven experience in an administrative or executive support role, preferably in a professional services environment.
  • Excellent communication skills, both written and verbal, with a strong attention to detail.
  • Proficiency in office software and applications, including Microsoft Office Suite and the ability to learn new CRM systems.
  • Ability to multitask, prioritize tasks, and meet deadlines in a fast‑paced remote work environment.
  • Professional demeanor, discretion, and the ability to maintain confidentiality.
  • Strong interpersonal skills and the ability to work effectively both independently and as part of a remote team.
