Position Title: Supply Chain Specialist

Role Summary
Coordinate all incoming shipments and work to improve supply chain processes for our organization. Ensure that all supply chain business activities are executed timeously and proficiently. Manage a customer sales order from receipt until product delivery through a streamlined and competent process flow (including entering the order in PRIME, preparation of required shipping documents, invoices, import permits, SAP systems execution, returns, credit notes, etc.). Collaborate with Market Supply Chain Planning Manager to develop accurate demand plans. Identify cost‑saving opportunities in procurement, warehousing, and distribution. Analyze and improve supply chain workflows to reduce waste and inefficiencies.
Role Responsibilities
- Logistics coordination: communicate with supply chain colleagues and freight forwarders to optimize shipping activities until 3PL warehouse deliveries, daily update the shipping register, perform track and trace activities, and clear instructions with freight forwarders.
- Prepare invoice documentation for processing readiness and support ad‑hoc queries/shipment follow‑up for invoices or other shipment‑related requests.
- Save and archive all shipping documents.
- Inventory & sales support: request import permit numbers, support GTS production system management update for product license and classification, maintain import permit tracker, record transportation deviations in QTS system, perform daily sales validation checks between LSP and Pfizer, share missing customer and pricing information with stakeholders, support sales reconciliation, raise tickets for SAP or LSP system errors, support required sales/inventory corrections, generate monthly sales report to Commercial and compliance reporting, compile quarterly Free Goods Review report for Finance and Market Supply Chain Planning Manager.
- Procure‑to‑pay support: vendor creation, GSC purchase order processing, update LSP Invoice tracker, support vendor invoice query, raise critical business payment when required for EAR.
- Customer service: deliver on time as per purchase order, enter order in PRIME for export markets and SAP for local market Kenya, manage minimum lead time to customer and import permit lead time, ensure accuracy of SAP inventory, maintain timely and accurate documentation, optimize cost through efficiency improvements, provide monthly/bi‑weekly updates to customers on no‑stock products, interface with Supply Planning and Logistics teams to align orders, process customer product returns and tender claims, proactively resolve customer complaints, coordinate with internal stakeholders to resolve issues, track and measure customer satisfaction.
- Compliance: execute/liaise warehousing and distribution processes in compliance with GDP regulations, Pfizer’s Supply Chain Quality Agreements, Pfizer minimum standards of care, FMD/Serialisation mandate, Global Trade compliance, FCPA guidelines, and all applicable policies and regulations.
Qualifications
- BS / BA Degree or Diploma required, preferably in Supply Chain, Logistics Management, Industrial Engineering or similar.
- 5 years of relevant experience in Supply Chain, Planning, leading business reviews with external partners, leading cross‑functional team projects.
- Demonstrated business acumen, industry and product knowledge, including trends, competitive landscape and best practices that impact the business.
- Operational Excellence experience; experience in Pharma industry considered an asset.
- CPIM or CSCP certification by APICS preferred.
- Strong communication and presentation skills, ability to interact with cross‑functional teams and external stakeholders.
- Ability to interpret/analyze data, draw meaningful conclusions and influence key stakeholders by presenting comprehensive solutions and recommendations.
- Detail‑oriented with strong organizational and problem‑solving abilities, able to multitask in a fast‑paced environment.
- System and digital proficiency: ERP systems – SAP and Kinaxis; use of digital dashboards for data analysis (Tableau, BI, IQVIA).
