Overview

The Groups and Incentives Operations Consultant will coordinate and support travel programs and group movements, ensuring operational efficiency, profitability, and high standards of service.

Responsibilities

Coordinate and execute land tour programs and events

Assist with the administrative preparation and management of travel files, ensuring effective operations and quality control.

Be available to travel with groups and assist with on-site coordination.

Collaborate with the Groups & Incentives Reservations Manager and Operations Manager to maintain a strong commercial focus, ensuring profitability and margins in line with andBeyond guidelines.

Provide proactive support to the Group's and Incentive's team.

Maintain relationships with partners and monitor adherence to supplier service level standards.

Support accounts teams to ensure timely debt collection and inform management of potential bad debt.

Maintain accurate information on all confirmed services

Assist with preparations of travel documentation and operating schedules for prompt delivery.

Ensure compliance with country travel restrictions in administration, planning, and execution of traveling groups.

Provide recommendations to Operations Manager and Groups Reservations Manager to improve guest experiences and service.

Forward client / guest complaints to the Operations Manager and Groups Reservations Manager and ensure timely response.

Be on call for major emergencies and alert the client and Regional Touring Manager as required.

Assist with special projects and any other duties as assigned by Management.

Knowledge Required

In-depth knowledge of the tourism industry, travel industry channels, current trends, destination management, and customer expectations.

Understanding of terms and conditions, markets in which andBeyond operates, product knowledge across destinations.

Ability to create and formulate a strategy and support commercial decisions.

A passion for delivering service excellence

Knowledge of South Africa, Southern and East Africa with the ability to provide recommendations and assistance.

Experience with crisis management protocols, including emergency response and risk mitigation strategies.

Qualifications Required

Minimum of 4 - 5 years of inbound tour consulting experience.

Skills Required

Strong administration skills with meticulous attention to detail.

Organization and time management; ability to deliver results in a fast-paced, performance-oriented environment.

Ability to work well under pressure.

Adaptability to changing priorities, projects, clients, and technology.

Clear thinking in emergencies to ensure smooth tour operations.

Good understanding of terms and conditions, product knowledge, and travel industry channels.

Financial analysis, modelling and management.

Knowledge of markets and product destinations across andBeyond.

Proficiency with Excel (essential), Tourplan (preferred) or other reservation systems, MS Office, Teams, WETU.

Analytical skills, negotiation skills, and experiential creativity (Crafting Experiences).

Yield management awareness.
