Job Summary

We are seeking a detail-oriented and customer-focused Group Travel Coordinator with specialized expertise in Cruise Reservations & Logistics. This role is ideal for a professional who thrives on creating seamless, memorable group travel experiences across global cruise destinations.

The successful candidate will handle group bookings, logistics coordination, client communication, and vendor relationships, ensuring high levels of satisfaction and operational excellence.

Key Responsibilities
  • Plan, coordinate, and manage group cruise reservations for leisure, corporate, educational, or incentive travel programs.
  • Liaise with cruise lines to secure group space, negotiate rates, and manage allotments.
  • Coordinate with clients to gather passenger details, manage rooming lists, and special requests.
  • Oversee the full pre-departure process, including invoicing, documentation, visa support, and payment follow-ups.
  • Act as the primary point of contact during cruise execution to resolve issues, ensure client satisfaction, and provide real-time support.
  • Manage logistics such as ground transportation, pre/post-cruise hotel arrangements, and optional excursions.
  • Collaborate with internal teams including marketing, sales, and finance to ensure smooth end-to-end execution.
  • Monitor cruise promotions, industry trends, and supplier changes to maintain competitive offerings.
  • Maintain detailed records and generate reports for performance tracking and invoicing.
Required Skills and Qualifications

Bachelors degree in Travel & Tourism, Hospitality Management, Business Administration, or related field.

Proven experience with cruise reservation systems (e.g., Polar Online, Espresso, or CruisePro) and GDS platforms (Sabre, Amadeus, etc.).

Strong organizational and multitasking abilities with a keen eye for detail.

Exceptional communication and client relationship skills.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook); knowledge of CRM tools is a plus.

Ability to handle complex logistics, deadlines, and last-minute changes with professionalism.

Experience 3–5 years of experience in group travel coordination, preferably with a focus on cruise travel.

Prior experience working with large group logistics or incentive travel is highly desirable.

International travel planning experience is a plus.

Working Hours

Monday to Friday: 9:00 AM to 6:00 PM (IST).

Flexibility required for different time zones and occasional weekend coordination during active trips.

Remote / hybrid work environment with occasional travel opportunities.

Knowledge, Skills and Abilities

Comprehensive understanding of cruise itineraries, fare structures, onboard services, and visa regulations.

Ability to stay calm under pressure and solve problems creatively and efficiently.

High degree of customer service orientation and cultural sensitivity.
