ROLE OVERVIEW
The Transfer Agency & Investor Services function is responsible for the accurate maintenance of all Shareholder Registers for open‑ended funds administered by JTC. The role ensures timely, precise capture, execution, settlement of all investor subscription, redemption and switch transactions, correct share/unit transfers, commission and distribution calculations and payments, documentation management, banking platform uploads, client mailbox review, cash reconciliations, static data updates, client deliverable deadlines, shareholder query resolution, new investor onboarding, customer due diligence, process documentation, reporting, error investigation, risk identification, project participation, regulatory reporting and adherence to all operational manuals and guidelines.
RESPONSIBILITIES
- The timely and accurate capturing, execution and settlement of all investor subscription, redemption and switch transactions.
- The correct execution of all share/unit transfers.
- The calculation of trail, rebate and introductory commission calculations and payments.
- The calculation and payment of all income distributions, side‑pocket and liquidating fund redemptions & distributions.
- Processing and ensuring all documentation is in place for distributions.
- Uploading required payments to banking platforms as per agreed processes.
- Reviewing client mailboxes ensuring all emails are actioned within agreed turnaround time.
- Preparing weekly/daily cash reconciliations and investigating and resolving reconciling differences.
- Processing static data changes to investor information.
- Managing client deliverable deadlines.
- Providing customer service for shareholder, manager, investor queries and reporting.
- Processing new investors loaded onto the system.
- Maintaining and monitoring all shareholder data including customer due diligence and KYC information retention.
- Actively ensuring all processes and procedures are properly documented to avoid accounting errors.
- Preparing regular reporting (e.g., admin reports, daily client reports).
- Resolving queries and issues within the team to prevent errors, breaches or client dissatisfaction.
- Investigating errors, completing the required JTC error reporting process and implementing remedial actions to prevent recurrence.
- Identifying and reporting high‑risk areas and process gaps to ensure escalation.
- Participating in risk‑reduction and efficiency projects relevant to the fund admin teams.
- Preparing investor reporting files for SARS or equivalent regulatory bodies.
- Preparing MI reporting as requested.
- Operating under strict guidelines, parameters of team operations manuals, scheme particulars and all regulatory/statutory guidelines.
- Ensuring operation within the approved operating model and framework.
- Maintaining a preparation‑focused operational role at all times.
MAIN RESPONSIBILITIES AND DUTIES
- Understanding the TA system and building relevant processes and controls for daily operations.
- Ensuring complete and accurate documentation of all processes.
- Maintaining an accurate and up‑to‑date database with underlying KYC.
- Assisting in projects to obtain missing KYC and CDD data as instructed.
- Ensuring accurate upload, maintenance and control of client core static data in line with departmental procedures.
- Providing acknowledgment of all updates to client static data.
- Processing and quality‑checking investors’ transfer instructions within agreed turnaround times.
- Providing internal and external reporting information per service level agreements, client or other parties’ direct requests.
- Acting as a contact point for clients and fund managers for all registration‑related queries and issues.
- Controlling, uploading and monitoring all client dealing instructions and Finswitch uploads per operational procedures.
- Reviewing fax/email boxes regularly to ensure correct execution of deals and queries.
- Processing deals and dealing days in accordance with operational procedures, SLAs and contractual obligations.
- Processing income distributions accurately and promptly.
- Performing reconciliation production and self‑checking processes.
- Preparing instructions for share dealing‑related cash movements to custodians.
- Dispatching contract notes within regulatory requirements.
- Ensuring adherence to policies and procedures for efficient query resolution.
- Participating in team initiatives such as procedure documentation.
- Monitoring deadlines and ensuring work is delivered within agreed deadlines.
- Managing the thorough processing of all transactions before and after dealing days, including reconciliation, payment and redemption proceeds.
- Responding promptly to investigation work initiated by clients, intermediaries, agents or investors.
- Enhancing operational procedures and supporting training and development of all personnel.
- Maintaining dealing operations manuals and operational/system changes.
- Participating in project work while adhering to the company risk‑reduction process and applicable policies.
ESSENTIAL REQUIREMENTS
- 3+ years relevant financial services experience.
- Working knowledge of Microsoft packages (Excel, Outlook, Word).
- Ability to work within pre‑determined deadlines and prioritize workloads under pressure.
