Overview

Visit.org is looking for an experienced, responsible, and driven Freelance Event Specialist, based in Gqeberha, South Africa, to help manage the logistics of an upcoming in-person event. The right candidate will have corporate event experience, entrepreneurial spirit, passion for our mission, and the energy and discipline to contribute in a start-up tech environment.

Responsibilities
  • Coordinate all event details, ship event materials, and arrange staffing for each event. Be on-site for on-the-ground support as our day-of Event Coordinator for engaging, team-building, social impact activities and events that support a great cause.
  • Attend virtual planning meetings ahead of each event with corporate partners, nonprofit partners, Visit.org event hosts, and Visit.org event coordinators.
  • Take ownership of in-person events: set up, align with the on-site team, tear down, clean site areas, problem-solve, and ensure high-quality customer experience.
  • Represent Visit.org as a leader and problem solver at events.
  • Align roles and responsibilities with the on-site team: event host, nonprofit organization, venue, additional staff, and corporate partner.
  • Manage the check-in process for in-person events, providing a warm and friendly welcome to guests.
  • Address and resolve issues such as missing supplies, late staff, and technology challenges; escalate to the Events Team when necessary.
  • Send consistent updates, photos, and videos to the Events Team throughout the event.
  • Assist with breakdown after the event and repackage and ship materials back to the distribution center; pack supplies and add shipping labels as needed.
Qualifications
  • Fluency in English with strong communication skills.
  • Based in Gqeberha, South Africa.
  • Schedule flexibility for per-event contract work, including nights and weekends as needed.
  • Experience in complex, large-scale events and smaller executive-level intimate events.
  • Proven track record of executing events at a high standard and enhancing content and customer experience.
  • Resourcefulness, grace under pressure, and solutions-minded in ambiguous situations.
  • Quick thinker with ability to problem-solve on the fly and implement backup plans.
  • Self-starter who is organized and detail-oriented.
  • Strong relationship-building and customer service skills; experience with group facilitation and managing group dynamics.
  • Ability to work flexible hours, including nights and weekends, as needed.
  • Willingness to travel within the local region.
  • Excellent interpersonal skills, especially in fast-paced environments; comfortable wearing many hats and taking on varied tasks.
  • Comfort being present and interacting with large crowds.

Location & Perks

This is an on-location, in-person per-event contract role in Gqeberha, South Africa. The role is open only to candidates already based in Gqeberha; no relocation packages are offered at this time.
