Job summary

A hospitality company in Stellenbosch is seeking a well-presented and professional Receptionist / Switchboard Operator on a fixed-term basis. Qualifications

Introduction

We are seeking a well-presented and professional Receptionist / Switchboard Operator to join our team on a fixed-term basis. The successful candidate will be responsible for welcoming guests to the estate, directing them to the appropriate outlets, and responding efficiently to general inquiries. This role requires excellent communication skills, a friendly and approachable manner, and the ability to deliver outstanding customer service while managing a busy front desk environment. Duties & Responsibilities
  • Greet and acknowledge all guests with warmth, kindness, and sincerity upon arrival and departure from the reception area.
  • Engage with guests in a professional and friendly manner, providing accurate information about the estate, its facilities, and available experiences.
  • Conduct estate tours for guests, ensuring an informative and enjoyable experience.
  • Operate the telephone and switchboard system efficiently, directing calls to the appropriate departments or individuals.
  • Respond promptly to all incoming calls and provide professional assistance based on the nature of each inquiry.
  • Maintain and update the register of bookings and reservations, communicating relevant information to the Security Department and other key teams.
  • Pile, record, and update data relevant to reception and guest services activities.
  • Prepare, distribute, and communicate essential information across the estate to ensure seamless coordination between departments.
  • Regularly update and maintain the accuracy of the electronic telephone directory.
  • Ensure restaurant lunch and dinner booking sheets are communicated to the appropriate departments in a timely manner.
  • Keep management informed of all guest concerns or issues, ensuring they are addressed promptly and effectively.
  • Handle all lost property responsibly, ensuring items are logged and handed over to the Security Manager following established procedures.
Desired Experience & Qualification
  • Grade 12 (Matric) is required; a Hospitality Certificate or Diploma will be an advantage.
  • Preferably 1–2 years of previous experience as a Receptionist or Switchboard Operator in a hospitality environment.
  • Excellent telephone etiquette and a strong commitment to providing outstanding customer service.
  • Fluent in English, with exceptional verbal and written communication skills.
  • Proven ability to work effectively within a team and contribute to a positive work environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills with keen attention to detail and accuracy.
  • Flexibility to work within hospitality operating hours, including evenings, weekends, and public holidays.
  • Confident and comfortable interacting with distinguished and high-profile clientele.
  • Well-presented, professional appearance with an enthusiastic and welcoming personality.
