Job summary

Qualifications

  • Essential minimum: Grade 12 with financial accounting or business admin background.
  • At least 3 years hands-on experience in finance administration.
  • Experience with financial duties and client support in inspection/laboratory environment preferred.
  • Experience with EXACT and SAP advantageous.

Responsibilities

  • Issue customer invoices as required.
  • Process supplier invoices and ensure compliance with company procedures.
  • Match purchase orders, delivery notes, and invoices.
  • Resolve invoice and purchase order discrepancies.
  • Assist with month-end closing activities.
  • Ensure invoices and credit notes are filed and maintained.
  • Process transactions within EXACT, SAP, or equivalent system.
  • Create purchase requisitions and purchase orders.
  • Obtain quotations from suppliers and ensure best value.
  • Communicate with suppliers regarding orders, deliveries, and purchasing requirements.
  • Maintain financial records and documentation.
  • Coordinate stock ordering and monitor inventory levels.
  • Prepare monthly operational, commercial, and administrative reports.
  • Maintain accurate records of customer interactions, quotations, procurement activities, and financial transactions.
  • Ensure documentation is filed and retained per quality procedures.

Objectives

The primary purpose of this position is to provide comprehensive commercial, administrative, and operational support to ALS Inspection South Africa. The role is responsible for supporting business development and commercial activities, managing office administration functions, coordinating procurement and invoicing processes, maintaining customer and commercial records, and ensuring efficient day-to-day business operations.

Qualifications

Essential Minimum: Grade 12 Diploma or Certificate in Financial Accounting, Business Administration, or related field.

Position Duties
Principal Responsibilities and Challenges

The primary role of the Finance Clerk will include, but not be limited to, the following:

Finance and Invoicing Support
  • Issue customer invoices as required.
  • Process supplier invoices and ensure compliance with company procedures.
  • Match purchase orders, delivery notes, and invoices.
  • Resolve invoice and purchase order discrepancies.
  • Assist with month-end closing activities.
  • Ensure invoices and credit notes are accurately filed and maintained.
  • Process transactions within EXACT, SAP, or equivalent financial system.
Purchasing
  • Create purchase requisitions and purchase orders in accordance with company procedures.
  • Obtain quotations from suppliers and ensure financial activities achieve best value.
  • Communicate with suppliers regarding orders, deliveries, and purchasing requirements.
  • Maintain financial records and documentation.
  • Coordinate stock ordering and monitor inventory levels to support operational requirements.
Reporting and Documentation
  • Prepare monthly operational, commercial, and administrative reports.
  • Maintain accurate records of customer interactions, quotations, procurement activities, and financial transactions.
  • Ensure all documentation is filed and retained in accordance with company procedures and quality requirements.
General Responsibilities

Support continuous improvement initiatives within the business. Undertake any other duties reasonably assigned by management. Perform responsibilities in accordance with ALS policies, procedures, and company values.

Authority
  • Issue quotations to clients within approved guidelines.
  • Raise purchase requisitions and purchase orders in accordance with delegated authority limits.
  • Process approved invoices and administrative documentation in line with company procedures.
