Facilities Manager: Sanlam Facilities and Real Estate

The Group’s five business clusters (Sanlam Fintech, Sanlam Life and Savings, Sanlam Investment Group, Sanlam Allianz and Santam) house the Group’s business operations. The Group Office provides strategic direction and support to the five clusters, assisting them in realising their strategies and meeting their business objectives. The Group Office is responsible for governance and for the Group’s centralised functions, which include: Finance, Actuarial, Risk and Balance Sheet Management, Strategy, Human Capital, Corporate Affairs and Sustainability.
This role is responsible for interaction with clients, Sanlam Facilities Real Estate colleagues and facilities management service providers to ensure service delivery is aligned to business goals, contract KPAs and desired customer value proposition. The job entails being a principal liaison in overseeing the operational and maintenance management of various Sanlam sites mostly in regional areas through 3rd party service providers and landlords.
What will make you successful in this role?
- Manage operational services through outsourced service partners and ensure adherence to service level agreements
- Plan and manage projects - office/shop installations, churn, office moves.
- Manage facilities budgets in line with the company’s financial policies and procedures
- Manage key contact relationships in business clusters and service partners
- Ensures that all internal beneficiaries of maintenance receive timely, efficient and quality service
- Ensures compliance to health and safety regulations as per the Occupational Health and Safety Act
- Responsible for long‑range and short‑range planning by ensuring regular analysis of backlog relative to available resources
- Scheduling and overseeing all maintenance‑related work by managing a team of maintenance technicians and supervisors
- Ensuring that all maintenance operations are done in accordance with company policy and OSHA guidelines and that facilities satisfies all industry regulations
- Developing and implementing a proactive maintenance program
- Managing repair and maintenance budgets
- Coordinating the completion of complex repairs
- Balance the need for daily output with the need of equipment reliability through proactive maintenance
- Draft maintenance reports
- Support real estate manager by managing leases in accordance with client and governance requirements
- Understanding and supporting critical business operations (call centres, data rooms etc) with necessary facilities support
- Evaluating the performance of the outsource service providers
- Research new ways/tools/assets to improve productivity and reduce maintenance costs
- Managing the Facilities Management maintenance repairs SLAs
- Prepare operation reports, maintenance budgets, and provide analysis of all reports
- Governance, risk and compliance – support compliance manager with cluster self assessments, building conditional assessments, security risk assessments and risk register management
- Manage the asset register and keep updated with all relevant stakeholders
- Assist to develop asset maintenance management policy, procedure and processes
- Conduct maintenance and service audits on third party providers to improve service assurance
- Sustainability and environmental management- energy, water and waste for sustainability
Qualification and Experience
- Relevant NQF 6 (e.g National Diploma) or higher in-built environment
- Certification in facilities management is advantageous
- 5‑10 years experience in facility management
- Possess project and people management skills
- Retail property management – remote sites

- Sound knowledge of ISO Asset management, Maintenance process, SANS 1752, OSHS act, SANS 1400 Standard

- Engineering drawing and BIM
- Understanding of WMS and BMS software, electrical systems, HVAC systems, carpentry, and various mechanical and architectural systems
- A basic understanding of elevators, fire alarms, plumbing, and other facility-related systems is also crucial
