Job Title: Executive Personal Assistant to the Chief Executive Officer

Location: Resolve and Change Systems (RACS), Centre City - Western Cape

Type: Full-time Office Based

Job Specification

About the Role

We are seeking a highly organised and proactive Executive Personal Assistant to provide dedicated support to the Chief Executive Officer and additional assistance to the Chief Strategy Officer. This role is ideal for an experienced professional who thrives in a dynamic environment managing multiple priorities with discretion, efficiency and professionalism.

Key Responsibilities
Support to the Chief Executive Officer (Primary Focus)
  • Manage the CEO’s diary schedule, appointments and ensure timely communication of commitments.
  • Coordinate internal and external meetings, engagements and travel arrangements.
  • Support the preparation, coordination and follow-up of Executive Committee (EXCO) meetings.
  • Track key projects and ensure the CEO remains updated on progress, decisions and follow-up actions.
  • Participate in project discussions, take minutes and monitor completion of assigned tasks.
  • Manage the CEO’s personal administration as required, including confidential document handling.
Support to the Chief Strategy Officer
  • Provide administrative and logistical support for strategic projects and programmes.
  • Coordinate meetings, workshops and masterclasses including minute taking and action tracking.
  • Assist with recruitment logistics, interview scheduling and reporting aligned to People Strategy processes.
  • Maintain the CSO’s calendar and provide regular updates on scheduled activities.
  • Conduct research and prepare documentation or correspondence as requested.
Organisational and Cultural Support
  • Act as administrative support for the Cultural Committee including coordination of cultural activities and events.
  • Manage event logistics, supplies and basic budget tracking for cultural initiatives.
  • Support the coordination of Senior Management meetings and strategy sessions including setting up minute taking and action tracking.
  • Arrange Senior Management breakaway sessions and oversee related logistics.
General Office Administration
  • As and when required by Corporate Services Manager.

  • Excellent organisational and multitasking skills with strong attention to detail.
  • Exceptional communication skills with a professional and confident demeanour.
  • High level of discretion and ability to handle confidential information.
  • Proficient in Microsoft Office Suite and comfortable managing multiple digital platforms.
  • A proactive approach with the ability to anticipate needs and work independently.
