Job description

We are seeking a proactive, detail-oriented, and highly professional Executive Assistant based in South Africa to support a U.S.-based executive coach, speaker, and workshop facilitator.

This is a unique opportunity to work closely with a purpose-driven leader operating in the high-performance coaching space.

The ideal candidate will not only manage day-to-day operations but also needs business development and client-facing experience.

Key Responsibilities
Executive Support :

Manage a dynamic calendar and schedule meetings across time zones.

Handle inbox management, email drafting, and correspondence on behalf of the executive.

Coordinate travel, events, and virtual speaking engagements.

Client Relationship & Experience :

Ensure a high-touch client experience with attention to detail, confidentiality, and professionalism.

Support relationship-building efforts, including personalized gifting and thoughtful client follow-ups.

Represent the executive with warmth and professionalism in all communications.

Business Development Support :

Assist with CRM and sales pipeline tracking (HubSpot / Airtable).

Prepare email outreach campaigns and assist with basic marketing automation.

Identify and suggest opportunities for lead generation and service improvement.

Systems & Tools :

Work within tools like Asana, Airtable, HubSpot, and Gmail / Google Workspace.

Create and manage internal processes and SOPs to support efficiency.

Leverage tools like ChatGPT and other AI platforms to streamline workflow.

Open to learning and applying new technologies to increase productivity and value.

Ideal Candidate
Experience :

3-5+ years in an Executive Assistant or Operations Support role.

Prior experience in a coaching, consulting, or professional services firm is a plus.

Strong knowledge of project management and CRM systems.

Must have client facing experience

Must be based in South Africa
