An exciting opportunity exists for a highly organised Executive Assistant / Personal Assistant to provide comprehensive administrative, travel, and operational support to the CEO and Chief Information & Projects Officer of a leading organisation based inDurban. This position is ideal for an experienced C-Level Executive Assistant who thrives in a fast-paced, professional corporate environment and enjoys managing multiple priorities with discretion and excellence.
Position: Executive Assistant / Personal Assistant to the CEO & Chief Information & Projects Officer (CIPO)
Location: Durban, Kwa Zulu Natal
Requirements:
- 5 to 10 years’ experience providing high-level executive support to C-suite or senior management (experience in the real estate, property, infrastructure, or corporate services industry will be advantageous).
- Executive Secretarial / Business Administration qualification or equivalent diploma.
- Advanced computer literacy in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
- Proven ability to manage complex travel arrangements, meeting coordination, and confidential executive correspondence.
- Strong interpersonal, written, and verbal communication skills with a high level of professionalism.
- Excellent organisational skills with the ability to prioritise multiple tasks and meet tight deadlines.
- Demonstrated discretion, integrity, and emotional maturity when handling sensitive company information.
- Experience managing budgets, expense reports, and executive calendars is essential.
Key Responsibilities:
- Provide full administrative and personal support to the CEO and CIPO.
- Manage complex diaries, appointments, and meeting schedules with a high degree of accuracy.
- Act as the primary point of contact for all internal and external stakeholders on behalf of the executives.
- Prepare, coordinate, and manage detailed international and local travel itineraries, including flights, accommodation, transport, and visas.
- Handle expense tracking and reconciliation, ensuring all reports are submitted promptly and within budget.
- Anticipate and proactively resolve potential travel disruptions or logistical issues.
- Coordinate and support executive meetings, including compiling agendas, preparing meeting packs, taking minutes, and ensuring follow-ups are actioned.
- Maintain strict confidentiality when dealing with sensitive company and personnel information.
- Serve as a communication bridge between senior management, internal departments, and external stakeholders.
- Ensure the smooth running of the executive offices, providing high-level administrative and operational support.
