Overview

Position : Executive Assistant / Personal Assistant to the CEO & Chief Information & Projects Officer (CIPO)

Location : Durban, Kwa Zulu Natal

Requirements
  • 5 to 10 years experience providing high-level executive support to C-suite or senior management (experience in the real estate, property, infrastructure, or corporate services industry will be advantageous).
  • Executive Secretarial / Business Administration qualification or equivalent diploma.
  • Advanced computer literacy in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
  • Proven ability to manage complex travel arrangements, meeting coordination, and confidential executive correspondence.
  • Strong interpersonal, written, and verbal communication skills with a high level of professionalism.
  • Excellent organisational skills with the ability to prioritise multiple tasks and meet tight deadlines.
  • Demonstrated discretion, integrity, and emotional maturity when handling sensitive company information.
  • Experience managing budgets, expense reports, and executive calendars is essential.
Key Responsibilities
  • Provide full administrative and personal support to the CEO and CIPO.
  • Manage complex diaries, appointments, and meeting schedules with a high degree of accuracy.
  • Act as the primary point of contact for all internal and external stakeholders on behalf of the executives.
  • Prepare, coordinate, and manage detailed international and local travel itineraries, including flights, accommodation, transport, and visas.
  • Handle expense tracking and reconciliation, ensuring all reports are submitted promptly and within budget.
  • Anticipate and proactively resolve potential travel disruptions or logistical issues.
  • Coordinate and support executive meetings, including compiling agendas, preparing meeting packs, taking minutes, and ensuring follow-ups are actioned.
  • Maintain strict confidentiality when dealing with sensitive company and personnel information.
  • Serve as a communication bridge between senior management, internal departments, and external stakeholders.
  • Ensure the smooth running of the executive offices, providing high-level administrative and operational support.
