An exciting opportunity exists for a highly organised Executive Assistant / Personal Assistant to provide comprehensive administrative, travel, and operational support to the CEO and Chief Information & Projects Officer of a leading organisation based in Durban. This position is ideal for an experienced C-Level Executive Assistant who thrives in a fast‑paced, professional corporate environment and enjoys managing multiple priorities with discretion and excellence.

Requirements

5 to 10 years' experience providing high‑level executive support to C‑suite or senior management (experience in the real estate, property, infrastructure, or corporate services industry will be advantageous).

Executive Secretarial / Business Administration qualification or equivalent diploma.

Advanced computer literacy in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.

Proven ability to manage complex travel arrangements, meeting coordination, and confidential executive correspondence.

Strong interpersonal, written, and verbal communication skills with a high level of professionalism.

Excellent organisational skills with the ability to prioritise multiple tasks and meet tight deadlines.

Demonstrated discretion, integrity, and emotional maturity when handling sensitive company information.

Experience managing budgets, expense reports, and executive calendars is essential.

Key Responsibilities

Provide full administrative and personal support to the CEO and CIPO.

Manage complex diaries, appointments, and meeting schedules with a high degree of accuracy.

Act as the primary point of contact for all internal and external stakeholders on behalf of the executives.

Prepare, coordinate, and manage detailed international and local travel itineraries, including flights, accommodation, transport, and visas.

Handle expense tracking and reconciliation, ensuring all reports are submitted promptly and within budget.

Anticipate and proactively resolve potential travel disruptions or logistical issues.

Coordinate and support executive meetings, including compiling agendas, preparing meeting packs, taking minutes, and ensuring follow‑ups are actioned.

Maintain strict confidentiality when dealing with sensitive company and personnel information.

Serve as a communication bridge between senior management, internal departments, and external stakeholders.

Ensure the smooth running of the executive offices, providing high‑level administrative and operational support.
